Receptionist opportunity at Barnett Waddingham – Cheltenham office.
Due to a planned retirement, we are hiring a Receptionist. The role is full-time and permanent, with consideration for part-time (4/4.5 days, up to 2 afternoons off per week). Start date likely 1st or 8th December 2025.
Overview
The Workplace Services hub provides professional operational services across workplace and facilities management, including property and asset management, building maintenance, environmental management, front of house services and corporate social responsibility. The role supports a compliant, comfortable and harmonious environment to promote employee wellbeing and an optimal workplace experience.
Responsibilities
* Act as the face and first point of contact at the Cheltenham front of house reception.
* Provide a warm, professional welcome and host clients, suppliers and employees, maintaining high standards of verbal, written and, where appropriate, physical communication.
* Book, set up and manage meeting rooms to a consistent, high standard; maintain meeting room guides.
* Organise catering and refreshments for internal and external meetings; assist with catering setup and room arrangements; audit catering firms and establish new caterers as required.
* Coordinate with internal clients and peer teams to meet visitor needs; escalate complex requirements to the Lead Receptionist or Office and Facilities Supervisor as needed.
* Process front of house service requests via the Helpdesk system.
* Maintain a comprehensive visitor log, issue security passes, and conduct regular pass audits.
* Organise courier and taxi bookings.
* Monitor and order supplies and handle related finance requisitions.
* Perform daily office checklist tasks in accordance with the Front of House manual.
* Support the Lead Receptionist and/or Office and Facilities Supervisor with routine office and facilities tasks.
Qualifications
* Experience in reception, office administration, hospitality or customer service.
* Basic to intermediate MS Office 365 skills (Word, Excel for data entry/tracking, Outlook for calendar management and room bookings, SharePoint).
* Ability to work well in a team and independently; remain calm under pressure with professional and courteous behavior.
* Previous experience in professional services or financial services is preferable but not essential.
* Experience with database systems and customer service ticket systems is preferable but not essential.
* Telephone experience and familiarity with internal messaging systems (e.g., MS Teams) is preferable but not essential.
* Willingness to travel occasionally if coverage for other offices is required (expenses covered).
