Montalto Estate is seeking an exceptional Senior Weddings & Events Executive to take ownership of the planning, sales, and operational delivery of weddings and events across our prestigious private estate.
This is a dual-focus role, combining commercial competency and hands-on event delivery. You will be partly responsible for driving the success of our award-winning venues, The Carriage Rooms, and Montalto House, while also supporting the development and delivery of wider estate events, including corporate, private, and public events.
As one of the primary points of contact for our most discerning clients, you will guide wedding couples and corporate partners from first enquiry through to flawless event execution, ensuring every detail reflects Montalto's reputation for excellence, exclusivity, and heritage.
Reporting directly to the Assistant Weddings & Events Manager, this role requires confidence, composure, exceptional attention to detail, and the flexibility to work evenings, weekends, and bank holidays in line with the event calendar.
Key Responsibilities
* Act as a primary lead for high-value wedding and event enquiries for The Carriage Rooms and Montalto House
* Manage enquiries from initial contact through to contract signature
* Conduct immersive, high-conversion venue show-arounds, selling the 'Montalto Way' with confidence and passion
* Follow up enquiries, manage viewings, and convert bookings to agreed targets
* Identify opportunities to maximise revenue per event, including upselling accommodation, experiences, and additional services
* Drive off-peak bookings and contribute to revenue growth strategies
* Monitor the Northern Ireland and UK luxury wedding and events market, competitor activity, and emerging trends
* Serve as a dedicated point of contact for clients throughout their planning journey
* Manage expectations with empathy, authority, and professionalism
* Compile detailed running orders, function sheets, menus, timelines, and logistics plans
* Coordinate closely with caterers and external suppliers (florists, photographers, entertainment, production teams)
* Ensure all contracts, deposits, invoices, post-event filing, and customer records are meticulously maintained
* Issue planning communications including five-week-out emails and final confirmations
* Communicate event details clearly and in advance to internal teams including Housekeeping, Gardening, Café, and Retail
* Lead the on-the-day operational delivery of weddings and events across the estate
* Be physically present for key weddings and major events to oversee setup, guest experience, service flow, and breakdown
* Manage bar rotas and bar team staffing where applicable
* Train, supervise, and support casual staff and junior team members
* Coordinate appropriate staffing levels for each event
* Proactively resolve issues before they impact guest experience
* Ensure health & safety compliance and guest welfare at all times
* Conduct regular walkthroughs of The Carriage Rooms, Walled Garden, ceremony spaces, and event areas
* Maintain immaculate presentation standards and report maintenance issues promptly
* Work collaboratively with wider estate management to ensure private events integrate seamlessly with public visitor operations
* Manage traffic flow, signage, and site exclusivity boundaries during events
* Work with the Marketing team to capture content for social media and promotional use
* Contribute to website and brochure updates where required
* Support the Weddings & Events Manager and Assistant Manager in developing new event concepts for the estate
* Assist with stock management, including ordering and organising non-consumable items across venues
Minimum 1/2 years' experience in a senior or lead events role within a luxury hotel, exclusive venue, or high-end hospitality environment
Proven experience delivering complex events for 150+ guests from setup to close
Demonstrated ability to manage multiple events simultaneously
Experience meeting sales targets and managing event budgets (desirable but not essential)
Immaculate personal presentation and professional communication
Strong emotional intelligence and the ability to manage high-pressure, emotionally charged environments (particularly weddings)
Exceptional attention to notice the small things before anyone else does

Confident, measured, and self-motivated
