Our client is looking for an experienced Business Support Officer
This position is not a Hybrid working opportunity and will be based in Family Hubs across the Borough. This position is full time 9-5 Monday to Friday
Main Purpose of the Job:
This post will be a split between administrative and reception duties depending on service need.
The appointed candidate will be based in Family Hubs across the Borough.
To provide a friendly and welcoming reception to all children, families, staff, professional colleagues and others visiting Family Hubs, ensuring they have access to the services they need.
To provide efficient administrative support the effective and efficient delivery of services within Family Hubs.
To support the accuracy, maintenance, and development of data and information systems in response to changing needs and to ensure effective implementation and review.

Reception
To provide a reception service at the Family Hub, ensuring all parents, carers, staff, partner agencies and visitors to the Hub receive a polite, warm and friendly welcome and are supported in accessing the services they need.
* To carry out follow up calls to Hub users as directed by the line manager.
* To ensure all families complete a Family Hub registration form and visitors and staff sign in and out of the building.
* To carry out daily and weekly health and safety checks and procedures as directed, including procedures related to site security, liaising with other site users as required. To act as a key holder for the site as needed.
* To act as a First Aider and Fire Marshall for the site, and ensure all first aid supplies are kept up to date.
* To provide support for the general administration and organisational functions of the Family Hubs, such as collating, printing and distributing documents or materials requested by the team, ordering and issuing stationery supplies and other equipment (including service-specific items) when requested, following standard approval processes.
* Take accurate notes at meetings or other events, ensuring confidentiality is maintained at all times.
* Undertake a range of ICT and mobile phone requests, training new staff, setting up user accounts, maintaining telephone and email lists, ordering hardware and updating web information. Raise Purchase Orders (PO’s) and process invoices. Assist in the delivery of general office management tasks within the department, including supporting Business Continuity and Health & Safety processes and maintaining corporate registers or contract lists.
* To manage the reception area and foyer ensuring they are kept clean, clear and tidy, and accessible. To monitor cleanliness and tidiness in the Family Hub areas and working spaces generally and report any repair or maintenance issues or other site problems to the line manager. To keep the noticeboards up to date and relevant.
* To manage basic internal queries and information requests (only referring more complex queries to Family Hub Navigator or Family Hub Manager) e.g. requests for Vitamin D.
* To administer bookings for Family Hub rooms and keep weekly wall planner and forward diary of activities, meetings and events on site.
* To prepare Family Hub rooms for activities, training courses and events, including preparation of refreshments and provision of required furniture, resources, IT and paperwork.
* To maintain storage spaces and public areas (including printers and scanners), ensuring compliance with Health & Safety requirements.
* To ensure registration forms, contact sheets and other data onto the Family Hubs case management system.
* To provide reception cover for other Family Hub sites to cover staff holiday, sickness and training as directed by the line manager.
* To work in partnership with professional colleagues, both internal and external to meet the needs of children, families and service users.
* To attend team meetings, training and other meetings as directed.
Internal Contacts: Officers and managers from all services supported by Prevention and Early Help Business Support Hub, plus Information Management & Technology Service, Transformation and Development, Human Resources etc.
External Contacts: Children, young people and families plus a range of partners such as health visitors, midwives, voluntary sector etc.
Carry out the duties of the post with due regard to the Council’s Equal Opportunities Policy and core values.
All employees are required to participate in the Performance Evaluation Scheme (PES) and to undertake appropriate training and development identified to enhance their work.
All employees are required to comply with the Council's Health & Safety policies and procedures at all times, taking due care for themselves, colleagues and members of the public.
Assist in carrying out the Council's Environmental Policy within the day-to-day activities of the post.
Undertake other duties, commensurate with the grade, as may reasonably be required.
Consideration will be given to restructuring the duties of this post for a disabled post holder.
