Job Title: Project Manager – Passive Fire Protection Location: UK (site-based with travel as required) Reports to: Operations Manager / Contracts Manager Role Overview The Project Manager is responsible for the successful planning, execution, monitoring, and completion of Passive Fire Protection (PFP) projects, ensuring compliance with fire safety standards, quality requirements, health & safety regulations, and client expectations. The role involves managing multiple work packages, coordinating site teams and subcontractors, controlling materials and logistics, and maintaining accurate project documentation throughout the project lifecycle. Key Responsibilities Project & Contract Management * Manage project batch numbers and maintain accurate store logs. * Prepare and issue regular project reports, including Fire Stopping (FS) and Fire Doors (FD). * Review and manage job sheets within Onetrace, ensuring accuracy and compliance. * Oversee project gate intent documentation and ensure alignment with project requirements. * Manage aftercare activities post-completion, addressing defects and client queries. Site Operations & Delivery * Manage live site issues, recognising that projects with multiple work packages require increased coordination and issue resolution. * Monitor delivery schedules and resolve delivery-related issues to avoid programme delays. * Coordinate materials orders, ensuring correct specifications, quantities, and timely delivery. * Arrange access equipment hire and off-hire in line with site requirements and programmes. * Organise accommodation bookings for site teams as required. * Set up site teams, ensuring appropriate labour levels and skills are in place. Planning & Programming * Develop, manage, and update work plans and construction programmes. * Coordinate sequencing of works with clients, main contractors, and other trades. * Attend and lead project meetings, both internal and external. Quality Assurance & Compliance * Carry out quality checks to ensure works comply with third-party accreditation, specifications, and manufacturer guidance. * Produce and manage snag reports, ensuring timely close-out. * Support site labour with drawings, door schedules, and resolution of live technical issues. * Train and brief subcontractors on fire stopping and fire door requirements, techniques, and installation details. Health & Safety * Prepare and manage weekly H&S Friday packs and all associated ACC administrative tasks, including Zip-Up packages. * Monitor health & safety performance on site, ensuring compliance with company and statutory requirements. * Arrange PPE ordering and supply for site teams and subcontractors. Commercial & Administrative * Review subcontractor invoices, verifying works completed against agreed rates and progress. * Maintain accurate project records and documentation. * Support onboarding of new employees and subcontractors, ensuring all required documentation and inductions are completed. Client & Stakeholder Management * Act as the main point of contact for clients, maintaining clear and professional communication. * Build and maintain strong client relationships to support repeat business and project success. Resource Management * Identify labour requirements and support the hiring of new resources as needed. * Conduct site visits as required to monitor progress, quality, and compliance (travel time not included). Skills & Experience Required Proven experience managing Passive Fire Protection projects (Fire Stopping and Fire Doors). Strong understanding of UK fire safety standards, accreditation requirements, and installation methodologies. Experience working with digital systems such as Onetrace or similar compliance platforms. Excellent organisational, communication, and problem-solving skills. Ability to manage multiple projects and work packages simultaneously.
