Operations Assistant (Maternity Cover) - 9-12 Month FTC

The Opportunity


We are seeking an Operations Assistant to provide maternity cover for our PA and Office Manager for an initial 9month fixedterm contract, with the potential to extend to 12 months.


This role will focus on keeping the London office running smoothly daytoday, while also providing PA support to one of the Directors, Jack, who is a Partner of the business. With the support of an experienced wider team, this role is designed to be more junior than the current position but still requires someone organised, proactive and comfortable handling a wide variety of tasks.



Key Responsibilities



1. Ensuring the smooth daytoday running of the London office

2. Managing office supplies, stock levels and general office organisation

3. Acting as a central point of contact for the studio and supporting the wider design team

4. Setting up meeting rooms and coordinating internal and external meetings

5. Liaising with the building management when required

6. Supporting basic IT setups and onboarding for new starters

7. Relaying information and updates between Directors, EAs and the wider team



8. Diary management and scheduling meetings (facetoface and online)

9. Managing business and personal travel bookings, including flights, accommodation, itineraries and visas (average once per month, with some periods more intensive)

10. Acting as a point of contact between Jack, the team and external clients

11. Chasing, reminding and supporting Jack with priorities, deadlines and preparation

12. Supporting with client liaison when required




You will work closely with two experienced EAs who support the CEO, ensuring strong communication and seamless handover between tasks.



About You


We are looking for someone with a handson, cando attitude, who is happy to contribute to a variety of tasks and take initiative when doing so.



You will ideally have:



13. Experience in an operational, office support, PA or EA role

14. Exposure to working within a creative business, agency, or studio environment

15. Strong organisational skills and the ability to operate effectively in a fastpaced environment

16. A flexible and adaptable approach - this is a role where priorities can change daily

17. Confidence managing diaries, travel and multiple small tasks concurrently - high levels of organisation is a must

18. A professional, personable communication style




This role would suit someone who enjoys variety, is practical and proactive and enjoys variety in their work.



Contract & Benefits



19. Salary: £35, - £40, (dependent on experience)

20. Contract: 9-12 month FixedTerm Contract

21. Handover: 2 weeks full handover prior to maternity leave

22. Location: Victoria, London (fully officebased)
