Our client is a very early-stage financial services provider operating in the personal finance and business banking space. They aim to launch their business focusing initially on credit cards, then expanding into personal and business current accounts, and eventually applying for a banking license.
They have substantial funding, making this opportunity particularly exciting, surpassing many well-known fintechs at the same stage.
The role of the Executive Assistant / Office Manager
The Office Manager/Executive Assistant will organize and coordinate office administration and procedures to ensure efficiency, effectiveness, and safety. They will also provide high-level administrative support to the Managing Director and, occasionally, to the future Board of Directors.
* Manage office organization, oversee the Reception team, liaise with IT support, handle project management, ensure deadlines are met, and manage company documents securely and confidentially.
* Coordinate calendars, schedule meetings, handle correspondence, and manage HR-related matters, acting as a liaison between management and staff.
* Perform all duties professionally, adhering to company procedures, policies, and guidelines.
Duties & Responsibilities
The responsibilities include, but are not limited to, the following:
* Ensure compliance with Health and Safety and GDPR regulations in office operations.
* Maintain effective filing systems, both electronic and hard copy, and develop data management procedures.
* Work with IT to ensure office technology runs smoothly, including hardware/software procurement and special project analysis.
* Update and review the company website and social media accounts regularly.
* Use the Property Management System (Qube) for reporting and data analysis.
* Manage office supplies and liaise with suppliers.
* Recruit, train, and mentor office staff; maintain employee and training records; review the Employee Handbook for compliance.
Administrative Duties
* Organize appointments and meetings, resolve scheduling conflicts.
* Attend meetings, take minutes, and circulate minutes.
