Offer description

Due to the retirement of one of our existing team, Greasby Group Practice is looking for a new member of our reception team.We offer full training, 5 weeks annual leave, NHS PensionScheme is available and a competitive salary.

The post will be for 25 hours per week and working hours are Monday to Friday 13:30 - 18:30.

This is a busy andvaried role which requires a flexible approach; you will need to be able towork using your own initiative and as part of a team, admin experienceessential, preferably in a medical setting, flexibility and computer literacyis also essential. Full training will be provided.


Main duties of the job

This role will suit a person who is used to working in a fast paced environment, who is able to provide excellent service to our patients both on the telephone and face to face.


About us

Greasby Group Practice is a 2 Partner GP surgery which has a patient list size of approx. 7000.

Our reception/admin team consists of 10 people covering the hours 08:00 - 18:30, we are a friendly team who support each other especially the new members of staff.


Job responsibilities

JOB DESCRIPTION

JOB TITLE: RECEPTIONIST

REPORTS TO: ASSISTANT PRACTICE MANAGER

HOURS: 25 hours per week

Job Summary:

Receive, assist and direct patients inaccessing the appropriate service or healthcare professional in a courteous,efficient and effective way.

Providegeneral assistance to the Practice team and project a positive and friendlyimage to patients and other visitors, either in person or via the telephone

Job Responsibilities:

* Ensurean effective and efficient reception service is provided to patients andany other visitors to the Practice
* Dealwith all general enquiries, explain procedures and make new and follow-upappointments.
* Usingyour own judgment and communication skills ensure that patients with noprior appointment but who need urgent consultation are seen in a logicaland non-disruptive manner.
* ExplainPractice arrangements and formal requirements to new patients and thoseseeking temporary cover and ensure procedures are completed.
* Receiveand make telephone calls as required.Divert calls and take messages, ensuring accuracy of detail andprompt appropriate delivery.
* Enterrequests for home visits into the clinical system, ensuring carefulrecording of all relevant details and where necessary refer to DutyDoctor.
* Actionrepeat prescription requests either on the computer via workflow ormanually.
* Advisepatients of relevant charges for private (non General Medical Services)services, accept over the counter payment and issue receipts for same.
* Enterpatient information on to the computer as required.
* Patientnotes and correspondence:
* Ensurethat clinical system practice notes are dealt with promptly and allactions taken are recorded appropriately.

Actione-consults received via the practice gatekeeper account and ensure they areworkflowed to the correct team.

Ensurecorrespondence, reports, results discharge letters etc are work flowed promptlyusing EMIS WEB or DOCMAN 10 and sent to the correct team.

* Make and serverefreshments as per office rota, ensure the kitchen is kept clean and tidyand air and tidy the waiting room in turn with other staff.
* Ensure that allnew patients are registered onto the computer system promptly andaccurately
* Undertake anyother additional duties appropriate to the post as requested by thePartners or the Practice Manager.

* Inthe course of seeking treatment, patients entrust us with, or allow us togather, sensitive information in relation to their health and othermatters. They do so in confidenceand have the right to expect that staff will respect their privacy and actappropriately
* Inthe performance of the duties outlined in this Job Description, thepost-holder may have access to confidential information relating topatients and their carers, Practice staff and other healthcareworkers. They may also have accessto information relating to the Practice as a business organisation.All such information from any source is to be regarded as strictlyconfidential
* Informationrelating to patients, carers, colleagues, other healthcare workers or thebusiness of the Practice may only be divulged to authorised persons inaccordance with the Practice policies and procedures relating toconfidentiality and the protection of personal and sensitive data

Health & Safety:

The post-holder will assist in promoting and maintaining theirown and others health, safety and security as defined in the practice Health& Safety Policy, the practice Health & Safety Manual, and the practiceInfection Control policy and published procedures. This will include:

* Using personal security systemswithin the workplace according to Practice guidelines
* Identifying the risks involved inwork activities and undertaking such activities in a way that managesthose risks
* Making effective use of trainingto update knowledge and skills
* Using appropriate infectioncontrol procedures, maintaining work areas in a tidy and safe way and freefrom hazards
* Actively reporting of health andsafety hazards and infection hazards immediately when recognised
* Keeping own work areas and general/ patient areas generally clean, assisting in the maintenance of generalstandards of cleanliness consistent with the scope of the job holdersrole
* Undertaking periodic infectioncontrol training (minimum annually)

Thepost-holder will:

* Participate inaudit where appropriate


Person Specification


Qualifications

* GCSE Grade A - C in English and Maths


Experience

* Experience of working in an administration/ reception role.
* Experience of working in a GP or healthcare setting.
