We are seeking a friendly and organised candidate with a passion for providing exceptional service to join our small but dedicated reception team.
The position is for 35 hours on a static rota, including a mixture of morning and evening shifts, and 1 in 3 weekends. You will be the first point of contact for our clients, playing a crucial role in ensuring a positive experience for both pets and their owners.
About us:
Havant Vets4Pets has been serving the community since 2018. Although small, we are part of a group of practices within the Solent area that have supported local pets for over 20 years. Our sister surgeries include Companion Care Vets Portsmouth, Fareham Park Gate, Fareham Collingwood, and Waterlooville Vets4Pets.
The ideal candidate needs to:
* Provide a polite and confident telephone manner, handling a range of client emotions.
* Be able to multi-task in a busy environment.
* Have relevant client-facing experience and excellent customer service skills.
* Possess good communication skills.
* Work well within a team, collaborating with both non-clinical and clinical staff.
* Be presentable and provide a positive experience for clients.
* Have experience using Microsoft Office and Excel.
* Previous reception experience is preferred but not essential, as full training will be provided, along with opportunities for career development.
Main responsibilities include:
* Greeting clients warmly in person and over the phone.
* Managing phone calls and digital services, including emails and texts.
* Handling administrative tasks such as paperwork for hospitalized inpatients, insurance claims, and daily cashing-up reports.
* Facilitating clear communication between clients and the veterinary team.
* Booking appointments, managing prescription orders, and accurately recording client and patient information in our system.
* Maintaining a tidy, organized, and welcoming reception area.
* Discussing our bespoke package offers to provide the best care for our patients.
