The main purpose of the role is to coordinate the site on a daily basis, ensuring that all office facilities are in good working order and are clean/tidy in preparation for each working day. The role requires contact with contracted and internal support services to leverage and drive daily improvements. It is vital in providing an organized, modern, and well-run site daily. Additionally, the role involves working with the team to drive good contract performance and introduce new and improved site facilities and arrangements. Administrative duties are highly important, requiring competence and understanding of finance, software, and filing systems.
Premier House is an administration building spanning four floors and houses various commercial and service-based departments. The successful candidate must understand each department's requirements and build excellent working relationships to ensure high standards of performance.
We aim to be best in class, requiring the job holder to review, consider, and introduce efficient processes. The Office Services Coordinator will work with various stakeholders to ensure proposals meet business needs and support departmental outputs.
Interaction with colleagues at all levels, including Senior Management, is necessary. The candidate must communicate professionally and confidently at all levels.
The candidate will be responsible for activities complying with UK legislation, ensuring procedures and paperwork are completed and stored accurately. This is vital during external audits.
What we need from you?
* Experience in Facilities/Office Management
* Project management skills and experience with small to medium facilities projects
* Qualification in Health and Safety, NEBOSH preferred, IOSH minimum
* A proactive, self-motivated, and highly organized attitude
* Experience in building management, including hard and soft services
* Excellent communication skills
* High attention to detail and ownership of responsibilities
* Good interpersonal skills, positive and calm under pressure
* Ability to work cross-functionally and build relationships
* Adaptability and agile thinking

* Proficient IT/PC skills with experience in various systems

What you'll be doing?
* Contribute to new strategies for cost savings and employee engagement
* Review risk assessments and method statements for subcontractors
* Monitor communal areas and site setup daily
* Coordinate with colleagues and provide solutions for facilities issues
* Engage with landlords and management to improve campus initiatives
* Understand and adjust site HVAC and BMS systems
* Manage site maintenance and related administration
