Senior Administrator

We are seeking a well‑organised and adaptable Senior Administrator to join our Diagnostic Medical Physics department within the Diagnostics & Therapies Division. This is a fixed‑term position to cover maternity leave.
This is a key administrative role supporting a specialist scientific service that ensures the safe use of imaging equipment across UHBW and for external customers. The department also contributes to teaching, training and research. You’ll be joining a friendly and supportive group of colleagues who are committed to delivering high‑quality work, even under pressure.
Main duties of the job
You’ll provide a mix of general and specialist administrative support, working closely with the Medical Physics Business Manager and the wider team.
* Supporting meetings, diary management, and departmental communications.
* Updating the Health Roster and supporting the maintenance of the department Risk Register.
* Assisting with procurement, quotations, and invoicing.
* Helping develop and maintain filing systems and standard operating procedures.
* Supporting the department's Quality Management System as a Q‑Pulse super‑user.
You’ll also act as a key point of contact for admin queries.

Person Specification
Knowledge and Experience
* Demonstrable administrative/secretarial experience including initiating and maintaining office systems
* Experience of organising meetings and taking notes
* Respectful and collaborative working attitude
* Flexible and adaptable

Skills and Abilities
* Excellent written and verbal communication skills
* Strong organisational and time‑management skills
* Ability to work under pressure in a busy work environment
* Ability to work without supervision and on own initiative according to agreed ways of working
* High level of accuracy and attention to detail
Qualifications and Training
* A levels/NVQ level 3 or equivalent qualification in business administration/similar subject, or equivalent experience
* Qualification or proficient in use of IT packages such as Microsoft Word, Excel, Teams and Outlook
* Proficient in using Health Roster, DATIX, SAP Arriba, Q‑Pulse
