Hybrid, working 3 days a week in our offices based in Old Street, London

About You
The Personal Assistant (PA) will provide comprehensive business and personal administrative support to the Founder, working closely alongside and reporting directly to the Executive Assistant (EA) to the Founder. This role will primarily support the EA in ensuring the Founder's day-to-day business and personal activities run smoothly and efficiently.

The PA will assist with a variety of ad hoc administrative tasks, including organising lunches and meetings for the senior leadership team, CEO, and Founders, coordinating boardroom setups, and providing additional operational support as required. The role will act as a key support function to the EA, helping to manage priorities and respond proactively to changing demands.

While this position offers hybrid working, flexibility is essential. When the Founders or senior leadership team are in the office, or when significant meetings or events require in-person support, the expectation will be to work on-site. Depending on business needs and the level of support required, some weeks may require full-time office presence.

You'll Be Responsible For
Calendar & Schedule Management:

* Supporting management of the Founder's business and personal calendar, including scheduling meetings, events, travel, shoots, and personal appointments for both the Founder and her family.
* Liaising with multiple stakeholders and Heads of Departments to align schedules across the business calendar, including coordinating meetings and preparing agendas.
* Supporting to plan the Founder's calendar months in advance by mapping out shoots, events, and meetings across global locations, liaising with departments to align priorities.
* Coordinating calendar management across various time zones to ensure seamless scheduling for all international commitments.

Travel & Logistics

* Planning international travel and creating detailed itineraries for the Founder and her family, ensuring a seamless door-to-door experience.
* Managing travel arrangements, including car transfers in the UK and internationally for the Founder and family.
* Managing hotel setups prior to the Founder's arrival (e.g., personal item placement, baby items, launch products, mirrors, Amazon orders).
* Arranging car transfers for the Founder and family, ensuring timely and comfortable transportation.

Personal & Household Management

* Arranging payment for personal and business appointments and maintaining detailed transaction records with the finance team.
* Organising home projects such as fitting custom Oner hangers in the Founder's house.
* Handling the renewal process for personal documents such as passports, visas, and other paperwork.
* Organising business and personal gifting, ensuring thoughtful and relevant selections for all occasions.
* Ensuring the Founder and Family, when in the UK office, have prepared lunches, beverages, and coordinating coffee runs.

On-Site & Event Support

* Coordinating with departments (e.g., Production, PR) to manage business events, including arranging makeup artists, stylists, and hairdressers.
* Being present on set as needed to support the Founder across a variety of activities.
* Adapting to the dynamic nature of the role to provide real-time support for day-to-day needs.

Administrative & Communication Duties

* Handling incoming physical mail and invitations for the Founder and ensuring appropriate and timely responses.
* Acting as a point of contact for the Founder's family and serving as gatekeeper for employees seeking access to the Founder.
* Handling miscellaneous tasks such as Amazon and beauty product orders, dry cleaning, Uber coordination, shipment processing, and distribution of items to the team.
* Handling ad-hoc duties and responding to urgent or last-minute requests, including those outside of standard working hours.

Flexibility & Availability

* Remaining available and flexible outside standard working hours, particularly due to the Founder's LA-based time zone.
* Supporting weekend tasks such as hotel setup or urgent personal errands, demonstrating adaptability in high-pressure situations.

You'll Need To Have

* Ideally 2+ years' PA experience
* Supported a senior leader or founder, managing both professional and personal responsibilities with discretion and efficiency.
* Ability to comfortably and continuously re-prioritise based on conflicting schedules or unforeseen last-minute changes.
* Thrives in a fast-paced environment, remaining composed under pressure while working efficiently.
* Ability to be self-sufficient, take initiative on the Founders needs prior to being requesting and willing to be adaptable in the changing environments.
* Ability to undertake door-to-door international travel sometimes at short notice.
* A proactive attitude and able to 'second guess' requirements.
* A positive, solutions-driven mindset and a natural negotiator.
* Highly communicative and articulate, with a proven ability to build and maintain relationships with key stakeholders and senior team.
* Previous experience working with highly sensitive and confidential information.
* Ability to multi-task across international time zones.
* Strong decision-maker attitude.
