About the Role Rugby Borough Council is seeking an organised and detail-focused Fleet Support Administrator to support the effective management of the Councils vehicle fleet. This key role ensures that all Council-owned vehicles, plant, and machinery remain compliant with legal, safety, and Council requirements through accurate administration, coordination, and monitoring. Your work will play a vital part in supporting frontline services by ensuring fleet operations run smoothly, safely, and efficiently. Youll coordinate vehicle servicing, inspections, and MOT compliance, including taxi licensing requirements and LGV MOT preparation in line with DVSA standards. You will act as a central point of contact for fleet records, compliance documentation, and operational support, liaising with internal teams, contractors, and external agencies as required. Please note this role is site-based 5 days a week. Key Responsibilities Fleet Administration & Coordination: Support the scheduling and coordination of vehicle servicing, repairs, inspections, and MOT testing to ensure fleet availability and compliance. Compliance Monitoring: Maintain oversight of taxi licensing, MOT, and DVSA compliance requirements, ensuring all vehicles meet statutory and Council standards. Documentation & Record Keeping: Accurately maintain fleet records, compliance documentation, inspection reports, and maintenance logs in line with DVSA and Council requirements. Operational Support: Provide administrative support for vehicle breakdowns, roadside incidents, and landfill site responses during working hours. Liaison & Communication: Act as a point of contact for Council departments, external contractors, licensing authorities, and members of the public regarding transport and fleet matters. Health & Safety Support: Ensure fleet-related administrative processes align with Health and Safety policies and safe working practices. Office & Systems Management: Maintain organised systems, databases, and files to support efficient fleet and transport operations. About You Youll have experience in administrative support, preferably in a transport, fleet, or logistics environment with an awareness of vehicle compliance, MOT processes, and transport regulations with a b asic understanding of vehicle maintenance processes and fleet operations. Youll be highly accurate with data entry, great at time management and organisation and be able to work well both with internal teams and external suppliers. A Full UK drivers licence is essential and the ability to work occasional unsocial hours (e.g. early starts, bank holidays) as part of operational support.
