ROLE PROFILE


THE WHY

This role exists to provide high‑level organisation, operational and coordination support while maintaining the highest levels of discretion and professionalism. It enables the smooth running of executive operations, ensuring leaders can focus on what matters most in a complex, fast‑moving environment.

A key aspect of the role is supporting the Founder & Creative Director, the CEO and CFO in delivering against the brand’s critical path, ensuring that key milestones across design, development, production and brand activity are effectively scheduled, prioritised and supported. This is a role where you are not managed but you manage upwards to ensure everything is done well and on time, always staying one step ahead of stakeholders.

The role also provides executive support to the CEO and CFO, helping to ensure alignment across the leadership team and enabling efficient decision‑making, communication and execution of business priorities.


ROLE ACCOUNTABILITY


THE WHAT


Responsible for:

* Providing comprehensive administrative and organisational support to the Founder / Creative Director.
* Managing complex and frequently changing calendars across multiple executives (Founder / Creative Director, CEO, CFO).
* Coordinating internal and external meetings, including preparation of agendas, briefing materials and follow‑up actions.
* Acting as a key liaison between the Creative Director, Executive Team and internal teams, partners and external stakeholders.
* Handling confidential information with a high degree of discretion.
* Scheduling & travel coordination.
* Arranging international and domestic travel, including itineraries, accommodation, transportation and logistics.
* Managing scheduling priorities to ensure optimal use of executive time, particularly around key creative and commercial milestones.
* Anticipating scheduling conflicts and proactively resolving them.
* Communication & correspondence.
* Drafting, reviewing and managing executive communications (emails, letters, presentations).
* Acting as a point of contact for incoming communications to the Founder / Creative Director.
* Ensuring timely responses and follow‑ups with stakeholders.
* Meeting & project coordination.
* Preparing meeting materials, presentations and briefing documents for executive and cross‑functional meetings.
* Taking minutes and tracking action items where required.
* Assisting with coordinating projects and initiatives led by the Founder / Creative Director, CEO or CFO to ensure alignment with strategic priorities and timelines.
* Liaising with Non‑Executive Directors.


Accountable For

* Ensuring the Founder / Creative Director, CEO and CFO can operate effectively through proactive management of administrative, scheduling and operational priorities.
* Supporting the Founder / Creative Director in maintaining focus on critical path milestones and key creative and commercial deadlines.
* Ensuring efficient coordination of executive meetings, travel and activities in alignment with business priorities.
* Supporting timely communication, follow‑up and execution of decisions made by the Executive Leadership Team.
* Maintaining absolute confidentiality regarding business, financial and creative information.
* Contributing to the overall efficiency, organisation and effectiveness of the executive office.


KNOWLEDGE, SKILLS & EXPERIENCE

* Proven experience working as an Executive Assistant or Senior Personal Assistant supporting C‑suite or Founder‑level executives.
* Highly proactive, with strong forward planning and the ability to work autonomously.
* The ability to act with significant autonomy and discretion, confidently navigating sensitive matters, anticipating needs before they arise and applying sound judgement in resolving issues.
* Experience working across senior stakeholders, managing ambiguity and creating calm and clarity in a dynamic setting.
* Demonstrated ability to manage complex calendars, competing priorities and multiple senior stakeholders simultaneously.
* Strong organisational and time‑management skills with the ability to manage a high volume of tasks in a fast‑paced environment.
* Experience coordinating executive meetings, travel arrangements and confidential communications.
* Ability to support senior leadership in maintaining focus on key business priorities and delivering against critical timelines or project milestones.
* Exceptional written and verbal communication skills, including drafting professional correspondence and briefing materials.
* High level of discretion, integrity and confidentiality when handling sensitive business, financial and creative information, with strong awareness of GDPR.
* Advanced proficiency in Microsoft Office and/or Google Workspace, including calendar management, document preparation and presentation materials.
* Strong attention to detail with the ability to anticipate needs and proactively resolve issues.
* Excellent interpersonal skills with the ability to build trusted relationships across internal teams and external stakeholders.


ESSENTIAL SKILLS & EXPERIENCE

PREFERRED SKILLS & EXPERIENCE

* Experience supporting a Founder, Creative Director or entrepreneurial leadership team.
* Previous experience working in luxury fashion, luxury goods, creative industries or founder‑led businesses.
* Familiarity with fashion critical path processes, seasonal collection cycles and fashion calendar milestones.
* Experience supporting multiple executives simultaneously, such as CEO, CFO or senior leadership teams.
* Experience coordinating international travel and complex multi‑location schedules.
* Project coordination or programme management experience.
* Experience preparing executive presentations, board materials or leadership meeting documentation.
* Additional language skills, particularly those relevant to international fashion markets.
