A Vacancy at Wrightington, Wigan and Leigh Teaching Hospitals NHS Foundation Trust.
The Healthcare Operations Department is looking to recruit a temporary Clinic Prep Clerk for 37.5 hours per week within the Prep Team based at Leigh Infirmary. You may be required to work on other sites if cover is needed. The service operates Monday to Friday between 7.30am and 6pm and Saturdays between 8.30am and 3pm. Flexibility to cover these hours is required.
Responsibilities
 * Provide full administrative support to the Outpatient Service Department, including timely and accurate preparation of Outpatient clinics and reception of patients.
 * Prepare all patients’ case-notes in advance of the clinic in accordance with procedure; ensure notes are transported securely and confidentially in line with Caldicott guidance.
 * Receive patients at reception, update demographic details on HIS and in case-notes, and book follow-up appointments in line with clinic rules.
 * Record all clinic outcomes and other information within agreed deadlines; prepare outpatient clinic lists and booking summaries for consultants and nursing staff; produce patient labels as required.
 * Deal with enquiries from the general public and other staff regarding clinic bookings; assist clinical staff with queries during clinics.
 * Handle walk-in patients to clinic and ensure case-notes are obtained and transported promptly.
 * Ensure all consultant correspondence is taken into clinic and returned to the appropriate person; liaise with Transport Department to meet deadlines for receipt and dispatch of case-notes.
 * Provide cover when necessary and receive/process telephone messages in accordance with instructions.
 * Utilise Trust IT resources in adherence to policies and maintain accurate, timely and legible records across paper, electronic, microfiche, audio, video and x-ray formats, as applicable.
 * Demonstrate effective communication to influence outcomes and show awareness of patients with hearing difficulties and non-English speakers.
 * Perform other duties relevant to this grade as required.
Qualifications and Requirements
 * Must be educated to GCSE level or equivalent or have relevant experience; demonstrate keyboard skills.
 * Knowledge of general office systems and customer-facing service experience.
 * Flexibility to adapt quickly to changing work patterns and cover various admin and clerical duties as required.
 * Strong interpersonal and communication skills and ability to work effectively within a team.
Terms and Conditions
This vacancy is advertised on a fixed-term basis to support an employee on secondment and will end in 10 months or when the substantive postholder returns. There is potential for this post to become permanent in the future. On-call may be required for senior positions (AFC band 8A or above) depending on role.
