We are seeking an experienced and highly organised Programme Administrator to support the delivery of two major graduate training programmes within our department. This pivotal role is ideal for a proactive individual with a strong background in academic administration and financial management, who thrives in a fast-paced and multifaceted environment.

You will provide administrative leadership across all aspects of programme delivery — from admissions and student support to event management, financial processing, and communications. With responsibility for supporting a growing cohort of postgraduate research students (approx. 100) and managing complex internal and external stakeholder relationships, this role offers the opportunity to make a meaningful impact on the postgraduate student experience.


Key Responsibilities


General Administration & Communications

* Act as the first point of contact for student, staff, and partner enquiries.
* Maintain programme information on websites and publications.
* Organise meetings, events, training sessions, travel, accommodation and more.
* Maintain and develop efficient administrative systems and processes.
* Compile and analyse sensitive data, adhering to GDPR regulations.
* Take minutes, prepare agendas, and service programme-related meetings.

Finance Administration

* Manage individual student funding allocations and stipend payments.
* Process expense claims and financial transactions via Oracle R12 and SAP Concur.
* Liaise with departments, suppliers, colleges and funding bodies to ensure accurate and timely payments.
* Support income tracking from industrial partners and other stakeholders.

Student Recruitment & Admissions

* Oversee the administration of the admissions cycle, including processing over 750 applications annually.
* Organise large-scale interview panels (300+ candidates, 70 assessors).
* Issue offers and funding decisions via eVision, liaise with colleges, and ensure compliance with visa and University requirements.
* Promote equality, diversity and inclusion throughout the recruitment process.

Taught Module & Student Programme Support

* Act as module administrator for the first-year training programme.
* Ensure module materials, assignments and feedback processes are coordinated via Canvas.
* Produce student handbooks and manage demonstrator/lecturer Right to Work checks.

On-Course Student Administration

* Maintain accurate records on UKRI databases and internal systems.
* Monitor student milestones, leaves of absence, attendance, and visa reporting.
* Coordinate meetings between students and academic leads and follow up on actions.

Project & Viva Administration

* Manage rotation project placements and the internal viva process.
* Liaise with academic and industry supervisors across the University and partner institutions.
* Coordinate the transfer of students for DPhil research with appropriate funding and support.

Internship Management

* Promote and track internship opportunities and ensure compliance with University policies on suspension of status and funding.

Events, Marketing & Communications

* Manage the programme's social media channels (LinkedIn, Facebook, X).
* Organise key events including the Annual Open Day, Symposium, and Industry Networking events.
* Maintain dynamic content on the programme websites.

Committee Servicing

* Arrange and service all relevant committee meetings, including scheduling, agendas, online access, refreshments, and minutes.

Essential Criteria

* Proven experience in academic administration, in a higher education setting.
* Financial management skills, including budgeting, payments and income tracking.
* Proven experience using eVision and Canvas.
* Experience of website editing and content management
