Job Description
We are currently working with a client based in Central London who are recruiting for an Office Support Manager to join their team.
The Role
As the Office Support Manager, you will be a member of the Management Team and have a pivotal role in the day to day operations of the business. This is a unique and diverse role, covering many disciplines from Reception Team Management, Facilities Management, Events Management and managing the businesses online social media platforms.
As a Office Support Manager, you will provide an efficient and effective administration support, including:
• Ensuring compliance with company, legal and brand operating guidelines
• Managing customer data and marketing event activities
• Creating, designing and implementing content, and managing social media platforms
• Managing customer relations including the day-to-day operation of the reception team, ensuring exemplary customer service standards at all times
Administration Responsibilities:
• Manage and be responsible for relevant sections of the company Operating Guidelines document including, but not limited to: Facilities, Mystery shop, Training Records, Starters and Leavers, Marketing
• Manage and be responsible for all facility issues, rectifying the requirements as efficiently as possible by liaising with Facilities Department
• Ensure all new starter/leaver paperwork is completed correctly and the company process is followed
• Support management in formal and informal meetings with employees as required, ensuring strict confidentiality is maintained at all times
• Record and maintain attendance register for timely monthly submission to the Human Resources Team for payroll processing
• Maintain employee training records and files confidentially
• Prepare correspondence for managers including presentations, letters, reports and memorandums
• Support the management team in preparation for Management Performance Reviews and any other meetings, audits or business initiatives as required
• Schedule internal and external meetings
• Manage and coordinate all social activities within budget
Marketing and Events Responsibilities:
In the role of Office Administration Manager you will plan and organise marketing activities including:
• Developing relevant business partnerships
• Sourcing of suitable events
• Supervision of on-site event teams
• Attend monthly Group marketing meetings
• Assist with and maintain the marketing plan
Customer Relations Responsibilities:
• Manage the day-to-day operation of the reception team including staff motivation, team reviews and appraisals, holidays and rota’s
• Manage Customer queries and complaints quickly and efficiently, following the legal and regulatory complaints procedure to ensure that all details are recorded and kept updated
• Arrange temporary cover if needed
About You
As Office Support Manager, you will need to have:
• Previous experience within similar roles, demonstrating strong administration and customer service skills
• Experience managing social media accounts and organising marketing activities/events
• Experience managing a team, including starters/leavers, rotas, holidays, training and appraisals
• Exceptional organisation, planning and coordination skills with excellent attention to detail
Hours and Rewards
Hours 8am to 6pm Monday to Friday with a 1-hour lunch break, and occasional evening or weekends if managing a Customer Event.
