Executive Assistant Location: Lisburn Reports to: Senior Leadership Team / Managing Director Employment Type: Full-Time / Permanent Working hours: Monday to Friday 8.30am-5pm Salary: £30,000 -£35,000 (dependant on experience) Role Overview The Executive Assistant will provide high-level administrative, organisational, and operational support to the Managing Director and wider leadership team. This role requires exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities in a dynamic, technical business environment. Key Responsibilities Executive Support Proactively manage executive calendars, appointments, and scheduling across multiple time zones. Prepare briefing packs, reports, presentations, and documentation for internal and client meetings. Act as the first point of contact for executive communications, screening requests and prioritising urgent matters. Support board meetings, including agenda preparation, document collation, and minute taking. Operations & Administration Coordinate travel arrangements, accommodation, and itineraries for senior leadership. Manage confidential documentation with discretion and professionalism. Maintain accurate filing systems, databases, and sensitive records. Assist with procurement administration, purchase orders, and vendor coordination where required. Project Coordination Liaise between internal departments (engineering, production, logistics, finance) to ensure actions and deadlines are met. Assist in the preparation of commercial proposals and client materials. Client & Stakeholder Liaison Build strong working relationships with internal teams, suppliers, and external customers. Assist with hosting visitors on site. Support client visits, site tours, and related hospitality arrangements. Represent the executive office professionally at all times. Skills & Experience Required Proven experience as an Executive Assistant, Personal Assistant, or Senior Administrator. Experience within automotive, manufacturing, defence, engineering, or technical environments is highly desirable. Excellent organisational and prioritisation skills. Strong written and verbal communication abilities. Proficiency in Microsoft Office 365 (Outlook, Word, Excel, PowerPoint, Teams). Ability to handle confidential information with integrity and discretion. Professionalism, resilience, and a proactive attitude. Ability to work effectively under pressure and adapt to changing demands. Desirable Attributes Project support or coordination experience. Understanding of procurement or supply chain processes.
