Job description

We have an opportunity for a Grade B2 executive assistant to join the DECC Private Office team on a temporary basis.

This is a varied and rewarding role and will give you the opportunity to gain experience working closely with the Director and the wider senior leadership team within DECC.

The Energy and Climate Change Directorate leads and plays a central role in helping to achieve the Scottish Government's work to develop a thriving decarbonised economy, with world class public utilities and the best outcomes for Scottish consumers. Scotland has some of the most challenging targets for carbon reduction in the world and the Scottish Government is committed to pushing Scotland to the forefront in addressing climate change.

The postholders will be part of the Energy and Climate Change Private Office Unit and will report to the Private Office Team Leader. Working directly with the Director, you will work closely with them and their senior leadership team. There will also be some interaction with the senior leadership team within DECC and a range of internal and external stakeholders. You will also have the opportunity to cover the executive support for DDs and build your network within the Directorate. You will build a good working relationship with the DDs and wider directorate, supporting the Director by managing their diary, mailbox and ensuring they have appropriate information to undertake their role.

* In an Executive Support, Business Management or similar role
* With strong organisational and communication skills.
* With the ability to manage competing priorities and meet deadlines.


Responsibilities

* Manage the diary by ensuring they have appropriate information and are fully prepared for meetings, speeches, and engagements – working with the policy team – and that they have sufficient time for planning, clearance and travel.
* Lead on key business management functions and own the coordination of key corporate duties such as risk, business planning/monitoring, certificates of assurance and workforce planning.
* Horizon scanning to ensure you are on the front foot with engagement plans and what will be required by when so you can commission the relevant policy team.
* Manage the mailbox and have oversight of all the key issues and developments within the division and bring them to their attention.
* Ensure all internal and external queries are dealt with within required time frames by coordinating commissions, cascading information and ensuring all relevant policy areas contribute where necessary.
* Involvement in projects as part of the Directorate Private Office Unit including: taking an active role in people survey action groups; support with the coordination and planning of away day events; and take an active role in short-life improvement projects as directed by the Director or line manager.
