Role overview
We are looking for a Trade Mark Administrator / Paralegal to support the management of UK and international trade mark portfolios. The role combines trade mark filing and case management with client communication and workflow coordination. This is a structured and detail-oriented position suited to candidates with experience in legal support, IP administration, brand management, or similar professional environments.
Key responsibilities
* Prepare, file and manage UK and international trade mark applications from start to completion.
* Conduct trade mark searches and prepare clear summaries and reports for client review.
* Monitor official deadlines (including publication, opposition, and renewal dates) and ensure the docketing system is accurate and up to date.
* Maintain organised case files and databases, ensuring compliance with UKIPO, EUIPO and WIPO processes.
* Manage incoming instructions and correspondence with clients, external counsel, and overseas attorneys where required.
* Assist with preparing responses to office actions, oppositions, and requests for evidence, under guidance.
* Support the CEO and legal partners in coordinating documentation for any enforcement or opposition matters.
* Prepare client-ready communications that clarify next steps, timelines, and requirements in plain language.
* Assist in client onboarding, matter intake and CRM updates to ensure smooth workflow.
* Where appropriate, help deliver webinars or attend relevant business events to support brand awareness.
Person specification
Essential
* Strong administrative accuracy, document handling, and time management skills.
* Excellent written and verbal communication, including the ability to explain legal concepts to non-experts.
* Ability to manage multiple cases simultaneously and meet strict deadlines.
* Proactive, organised and confident working independently.
Desirable
* Previous experience in trade mark administration, IP paralegal work, legal practice administration, or professional services.
* Familiarity with UKIPO/EUIPO/WIPO online filing systems.
* Experience with IP docketing or legal case management software.
* Interest or experience in brand protection, design, marketing or creative industries.
Qualifications
We welcome applicants from varied professional backgrounds. Any of the below are advantageous but not essential
* Degree in law, business, communications, Intellectual Property, or related field.
* Paralegal certification or trade mark administrator training.
* Experience in an IP office, law firm, consultancy, brand agency or similar environment.
