Courtyard Health Clinic is an independent private GP practice founded by Dr Victoria McBride in 2025, based at Eskmills in Musselburgh.

We provide a different kind of primary care experience built around longer appointments, continuity with the same doctor, proactive healthcare, and exceptional patient experience.

The Role

We are looking for an experienced, polished, and highly personable Receptionist and Concierge to join our growing team.

This is not a traditional receptionist role.

This position sits at the heart of the patient experience within the clinic. You will be one of the first points of contact for patients, members, and prospective patients of Courtyard Health Clinic and will play a vital role in creating a calm, welcoming, and highly professional environment for everyone who enters the practice.

You will greet patients, manage enquiries, support membership onboarding, handle administration, and help ensure every interaction reflects the high standards and values of Courtyard Health Clinic.

The right person will understand that exceptional private healthcare is about far more than efficiency. It is about warmth, discretion, attention to detail, professionalism, and making people feel genuinely cared for.

This role would suit someone with previous experience in a premium customer service environment where presentation, communication, confidentiality, and emotional intelligence are essential.

* Luxury hotels
* High‑end health clubs
* Private client or membership‑based services

You will work closely with our Practice Manager whilst also having direct exposure to the founders and wider business operations.

As a small and growing company, the right person will enjoy being adaptable, proactive, and involved in helping shape processes as the clinic evolves.


Key Responsibilities

* Greeting patients and visitors warmly and professionally within the clinic
* Creating a calm, friendly, and welcoming environment for patients of all ages
* Managing inbound enquiries by phone, email, and in person
* Supporting prospective members through the membership journey from initial enquiry through to onboarding
* Handling payments in a professional, respectful, and discreet manner
* Accurately recording patient information and maintaining high standards of administration
* Managing appointment bookings, enquiries, and day‑to‑day front‑of‑house operations
* Recording and managing calls appropriately in line with clinic processes
* Maintaining strict patient confidentiality at all times
* Building positive relationships with patients and acting as an advocate for the clinic and its values
* Working collaboratively as part of a growing team
* Supporting wider operational and administrative tasks where required
* Representing Courtyard Health Clinic with warmth, professionalism, and integrity at all times
* Previous experience in a customer‑facing role within a premium or high‑service environment
* Proven ability to deliver exceptional customer or patient experience
* Excellent verbal and written communication skills
* Highly organised with strong attention to detail
* Professional presentation and interpersonal skills
* Comfortable managing multiple priorities in a fast‑moving environment
* Emotionally intelligent, empathetic, calm, and discreet
* Strong understanding of the importance of confidentiality within a healthcare environment
* Confident using computer systems and digital platforms
* Experience within private healthcare or membership‑based services
* Experience using CRM systems such as HubSpot
* Previous experience within hospitality, concierge, or luxury service environments

Schedule

Clinic is open Monday‑Friday 9am‑5pm


Experience

Minimum 2 years’ experience within a premium customer‑facing environment preferred
