Role: Project Coordinator
This role is based at our Mallusk office and involves supporting HVAC Capital Works projects in Northern Ireland. The Project Coordinator will be an integral part of the team, requiring multitasking and prioritization skills due to the busy nature of the role.
Summary of Duties
* Coordinate site construction projects to ensure effective and timely execution.
* Manage scheduling of engineer diaries to cover all projects efficiently.
* Handle incoming calls and record/manage them to the required standards.
* Support clients via telephone and email.
* Log and assign response maintenance calls promptly.
* Process operatives' paperwork and close calls for payment submission.
* Respond within agreed timeframes, service levels, and contract terms.
* Meet targeted KPIs related to contract requirements.
* Assist in cross-training team members for contract coverage.
* Perform routine administrative tasks.
* Liaise with stakeholders and clients.
* Escalate issues promptly to line managers or clients.
* Undertake additional duties as required by management.
* Ensure compliance with policies and procedures.
* Support applications and certificates from authorities/clients.
* Work safely and diligently, adhering to health and safety standards.
* Schedule daily runs for multiple operatives.
* Organize materials, coordinate with suppliers and subcontractors.
* Maintain professionalism and confidentiality.
* Calculate engineer performance and bonuses.
Person Specification
* At least 1 year of experience in an office environment.
* Minimum of 5 GCSEs, including English and Maths.
* Proficient in Microsoft Office.
* Proactive with the ability to work independently.
* Strong customer focus and professionalism.
* Excellent organizational and communication skills.
* Team player with good relationship-building skills.
* Adaptable, flexible, and positive attitude.
* Ability to multitask and handle a high volume of calls.
