Job responsibilities
The inpatient secretary will provide secretarial, administrative, and clerical support to the Clinical Acute Inpatient areas. Responsibilities include managing referrals, admissions, discharges, maintaining up-to-date service user records, and ensuring adherence to policies and procedures.
Key duties include:
* Supporting administrative tasks related to inpatient admissions and discharges.
* Diary management for clinical and medical teams.
* Preparing correspondence, reports, and documentation within set timescales.
* Overseeing work of support staff and ensuring confidentiality and data protection.
* Handling telephone enquiries with empathy and professionalism.
* Liaising with internal and external stakeholders.
* Supporting meetings, including sourcing venues, preparing agendas, and minute-taking.
* Managing system reports and data quality.
* Contributing to service development and ensuring health and safety compliance.
* Assisting with stock management and administrative supplies.
Additional duties include participation in team activities, training, and other responsibilities as required.
Person Specification
Knowledge
* Confidentiality and data protection
* Understanding of mental health services and client groups
* Knowledge of hospital administration, medical terminology, and CPA
Qualifications
* GCSEs A-C including Maths and English or equivalent
* RSA/OCR Grade 3 Typing/Word Processing
Experience
* Team working and database management
* NHS secretarial/administrative experience
* Experience with electronic systems and working in a team
