Job Description
We’re seeking a Client Relations & Compliance Assistant responsible for addressing client dissatisfaction and managing complaints through informal resolution, ensuring a positive client experience. The role involves maintaining strong client relationships, providing a platform for clients to voice concerns, and managing these concerns efficiently. Additionally, the role supports compliance efforts in GDPR, Subject Access Requests (SARs), and Anti-Money Laundering (AML), ensuring accurate record-keeping. Enthusiastic individuals will assist with administration and clerical duties in our Residential Conveyancing department.
Responsibilities
Complaints Management
* Serve as the first contact for client concerns or dissatisfaction.
* Engage professionally and empathetically to resolve complaints informally and swiftly.
* Listen, acknowledge concerns, and take proactive steps.
* Communicate next steps if resolution isn't immediate and escalate as needed.
* Track complaints, identify trends, and analyze themes across departments.
* Collaborate with internal teams to address systemic issues.
Compliance & Risk
* Manage Subject Access Requests (SARs) with documentation review.
* Support investigations of GDPR and AML breaches, ensuring compliance.
* Maintain and update compliance forms, policies, and documentation on the Howells Hub.
* Track compliance records, including Breaches Registers.
Administration & Reporting
* Record and report complaints and compliance issues to management, with recommendations.
* Ensure documentation of all related communications and actions.
* Assist with ad-hoc compliance tasks as needed.
Qualifications & Skills
* Experience in customer service, client relations, or complaints handling, especially via phone.
* Experience in residential conveyancing is desirable but not essential.
* Basic understanding of GDPR, AML, and SARs is desirable; training provided.
* Previous administrative or support experience, especially in compliance or client-facing roles, is beneficial.
