Marketing & Office Manager Location: Edinburgh City Centre (in person) Reporting to: Directors Contract: Part-time / Permanent Hours: 30 hours per week (Mon-Thurs 09:00–17:30 with one hour for lunch) Salary: £33,000 per annum (pro rata) - £26,400 for 4 days Annual Leave: 30 days per annum (pro rata) About the Role Our client is a small but highly successful property consultancy based in Edinburgh’s city centre. A new role has become available for a Marketing & Office Manager (who will also take on some Compliance issues). You will be the operational heartbeat of the organisation and as such, you will be office based (4 days per week). This is a varied, hands-on role supporting four Directors, owning the smooth running of the office, delivering engaging marketing activity, and ensuring compliance obligations are met with confidence. You’ll work across marketing, administration, systems, compliance and client support - with real scope to streamline processes, introduce new ideas and make the role your own. Alongside an engaging and varied role, additional benefits include: • Employer pension contributions • Discretionary bonus scheme • Cycle to Work scheme Key Responsibilities Marketing & Communications • Plan and deliver property marketing campaigns • Create brochures, presentations, mailers and organise signage • Manage Mailchimp campaigns • Maintain and update the company website and third-party property listings • Manage social media content and posting schedules • Collate quarterly stats and prepare market reports • Produce property options reports • Coordinate events including agent, charity and social events • Support seasonal marketing campaigns Office Management & PA Support • Provide comprehensive PA support to four Directors, including diary management and arranging travel and accommodation • Act as first point of contact for calls, visitors and incoming correspondence • Organise in-house meetings, in-house lunches, restaurant bookings and staff entertainment • Manage office facilities and suppliers (cleaning, waste, milk, IT, stationery, utilities), including contract negotiation and invoice handling • Liaise with building management regarding office and premises matters • Maintain company records, digital filing systems, key logs and contact databases • Handle insurance renewals (PI, office, health and life) • Manage expenses and raise invoices through Xero • Support Directors with personal administrative matters when required • Manage IT relationships, company mobiles and equipment orders • Support the team with drafting, formatting and updating documents, ensuring consistency in style • Update templates, trackers and internal systems • Utilise AI tools to improve efficiency Compliance & Governance (this can be learned) • Take responsibility for AML compliance processes and record keeping • Oversee fire safety, health & safety and office compliance requirements • Maintain RICS registration and compliance documentation • Support Net Carbon Zero initiatives and reporting Person Specification Essential Attributes • Solid marketing experience / confidence in marketing delivery • Experience in office management, PA, marketing or operations roles • Exceptionally organised with strong attention to detail • Proactive, self-motivated and comfortable working independently • Confident juggling multiple priorities in a fast-paced environment • Clear, professional communicator with a positive, approachable manner • Strong administrative foundation with excellent Microsoft Office skills (Outlook / Word / Excel / PowerPoint / OneDrive) • Comfortable working with systems, data and spreadsheets • Creative eye for marketing materials and presentation • Trustworthy and discreet, with the confidence to support senior leadership Desirable Skills & Experience • Familiarity with the commercial property sector, professional services or regulated environments • Experience using Xero, Mailchimp and Canva • Understanding of AML, compliance or regulatory processes • Interest in using AI and technology to improve workflows • Event co-ordination or campaign management experience Personal Qualities • Calm under pressure and solutions focused • Takes pride in doing things properly and making them better • Enjoys variety and being involved across the business • Naturally collaborative, supportive and reliable This role is essentially part time - 4 days per week.
