Administrative Officer – Primary Care

The Primary Care team is looking to recruit an Administrative Officer to join its central business support team, providing administrative support to the Out of Hours (OOH) service and, when required, to the wider Primary Care team. The administrator will work during the day, supporting the delivery of urgent primary care services outside normal working hours.

Key responsibilities include:

* Providing clerical and operational support, including managing confidential patient information, maintaining rotas and databases, and supporting workforce coordination.
* Ensuring accurate documentation of clinical activity and serving as the key contact point for staff, partner organisations, and occasionally patients.
* Supporting audits, reporting, data collection, and compliance with governance requirements.
* Organising routine and ad‑hoc meetings, taking formal minutes and action notes.
* Processing Primary Care contractor claims and invoices within agreed timescales, and managing stock ordering.
* Accurate data entry and maintenance of spreadsheets and clinical systems, supporting report production, data extraction, and training event organisation.
* General office duties such as filing, photocopying and record management.

Essential skills and qualities:

* Strong organisational skills and attention to detail.
* Excellent communication skills.
* Ability to remain calm and professional under pressure.
* Flexible and proactive approach to meet service needs.

The ability to communicate in Welsh is desirable for this post. If you do not meet the Welsh Language requirements, the Health Board offers a variety of learning options and staff support to help you meet these minimal desirable requirements during the course of your employment.
