Overview
Provide excellent secretarial support to the Newcastle team and, as required, to other practice groups. Act as the point of contact for lawyers, manage workflow and deliver exceptional client service.
Key Responsibilities
* Client Relationship Management: Keep up to date with client protocols, provide guidance and training, and monitor compliance.
* Administrative: Handle outgoing correspondence, manage electronic communications and encryption, maintain case management systems, collate enclosures, manage emails, print/file/scan/archieve documents, update document bundles, support billing and accounts queries, book meetings and travel, assist with business development activities.
* Communication: Serve as primary contact for lawyers, prioritize and draft responses, liaise with colleagues, handle phone calls, coordinate absences, and provide support to other departments.
* Financial: Assist with billing related tasks, update time allocation, request cheques, support the WIP process, manage finance administration including expenses.
* Customer Service: Arrange and attend meetings, liaise with lawyers and STLs, update service users, offer assistance.
* Firm wide: Work within the international firm structure, manage risk and compliance, and collaborate to meet firm objectives.
Skills, Knowledge and Expertise
* Experience in legal or professional services.
* Ability to manage multiple priorities and produce high‑standard documents.
* Advanced Microsoft Office and case‑management system proficiency.
* Effective communicator with excellent client service approach.
* Proven client‑facing task management, problem‑solving, accountability, teamwork, adaptability and a positive attitude.
* Confidential, discreet, highly organised, meticulous attention to detail.
