Role Overview
As Administration Manager, you’ll play a central role in keeping a complex and fast‑moving Trauma & Orthopaedics service running efficiently. You’ll lead a hard‑working and diverse administrative team who manage high volumes, competing demands and challenging deadlines every day. This role offers the chance to drive improvements, influence change, and build a resilient, skilled workforce.
Key Responsibilities
* Oversee daily administrative operations, manage staff, coordinate waiting lists, support consultants and guide service improvements to ensure patient access standards are met.
* Handle operational challenges, lead change, analyse data and keep complex workflows on track during busy periods.
* Provide daily leadership to the Directorate’s administrative staff, including authorising leave, resolving issues and liaising with HR regarding sickness and phased returns to work.
* Reallocate staff and reprioritise workload to maintain service continuity during sickness or sudden increases in demand.
* Determine actions to prevent waiting time breaches, such as adjusting pathways, capacity or task distribution.
* Respond to administrative complaints or operational issues, ensuring proper information is gathered and appropriate actions are taken.
* Ensure smooth-running of the busy T&O departments and the allocation of secretarial support to consultants and clinical sessions.
* Produce agendas, chair and transcribe minutes of monthly administration meetings and disseminate the Trust Core Brief.
* Recruit, interview and develop secretarial staff, including drafting adverts, short‑listing, conducting interviews, chairing interview panels and advising on appointments.
* Plan and deliver staff training, appraisals, PDP plans and mandatory training to meet Health and Safety and Trust requirements.
