Job Title: Facilities Helpdesk Administrator
Location: Peterhead
Reporting To: Facilities Manager
Hours: Full-time, 37.5 hours per week
Work Style: Hybrid working available
Job Purpose:
The Facilities Helpdesk Administrator will support the Facilities Management team by managing, administering, and maintaining work task systems across multiple client sites. The role ensures the timely allocation, monitoring, and closure of helpdesk tickets while supporting overall daily operations and maintaining positive client and team relationships.
Key Responsibilities:
* Manage incoming helpdesk tickets and assign tasks to the appropriate facilities team members
* Monitor and update planned and reactive maintenance tasks within the ticketing system
* Ensure all work is completed to an acceptable standard and close tickets promptly
* Liaise with contractors and internal stakeholders to coordinate facilities work
* Maintain accurate CAFM records and support reporting and data analysis requirements
* Provide general administrative support to the Facilities team as required
* Contribute to continuous improvement of helpdesk processes and procedures
* Support other Shared Services roles as needed, demonstrating flexibility and adaptability
Qualifications and Skills:
* Proficiency in MS Office, particularly Excel and Outlook
* Strong written and verbal communication skills
* Ability to prioritise tasks and work effectively under pressure
* Excellent organisational and planning abilities
* Flexible and adaptable with a proactive approach to problem-solving
Desirable Qualifications/Experience:
* Previous experience in facilities administration, helpdesk, or office support roles
* Hands-on experience within a facilities environment
* Experience in fast-paced corporate, industrial, or multi-site environments
* Strong customer service orientation and relationship management skills
