Job Vacancy: Probate Administrator

Job Type: Full Time

Based: Cranleigh Office

Salary: Market Rate (DOE)

The Surrey Probate Practice is looking to recruit a Probate Administrator with great organisation and communication skills to join our growing probate department in our office on Cranleigh High Street.

You will provide valuable assistance to our Fee Earners with helping them to progress the administration of estates and to help support our clients for when they need it most.

As a Probate Administrator, you will support the Fee Earners by carrying out a range of administrative tasks to help make sure each case runs smoothly.

Responsibilities:

* To maintain the high standard of service offered to the firm's clients and to assist in creating and developing the professional reputation of the department.
* To support our Fee Earners with administrative work, meeting the requirements of the case management framework.
* To work effectively from a daily task list, making sure that the list is well maintained and kept up to date.
* To perform daily tasks such as such as dealing with client queries via email or telephone and scanning and printing of post.
* Identifying potential concerns with returned documentation and highlighting this to the relevant Fee Earner for action.
* You will be required to record your time while working on administrative tasks for client matters and therefore you will contribute to the fee earning activities for the firm.

Typical duties will include:

* Working directly with Fee Earners and Directors in the team to action administrative tasks
* Diary and time management including arranging client meetings.
* Producing correspondence and general clerical tasks.
* Performing data entry, database management, preparing relevant forms and collating necessary documentation.
* Composing letters for matters delegated and selecting and amending standard letters as appropriate.
* Liaising with clients and other experts via the telephone and email.
* General administrative work of the department, to include (but is not an exhaustive list) onboarding new clients and the associated file opening and compliance work, scanning, notetaking, and preparing preliminary drafts of letters, emails, and other documents, dealing with enquiries and taking and relaying messages, maintaining orderly files and papers, electronic filing, as well as closing and archiving files.
* When working on client matters, to record your time.
* Managing inventory of office supplies to ensure smooth operation of the office.
* Any other administrative duties allocated by the Fee Earners and Directors.

Skills and Knowledge

This role would suit someone who has:

* Excellent organisational skills
* A high level of attention to detail
* The ability to prioritise a varied workload
* Strong communication skills
* Ability to give and follow instructions accurately and efficiently; proactive in asking clarifying questions to ensure work effort is directed wholly toward desired outcome
* Ability to manage time and work to deadlines
* Ability to identify sensitive issues and facilitate communications in a proactive manner to avoid surprises
* Willingness and ability to adapt to new circumstances, information, and challenges
* Work independently and as part of a team
* Demonstrate a positive, can-do attitude
* Prior experience of the bereavement and probate process preferred, but not essential

Requirements

* Excellent academics
* Excellent communication skills and telephone manner
* Ability to be flexible to meet the demands of the work
* Previous experience working in a busy department, not necessarily in a legal environment
