About the Role:
The Project Support Officer (PSO) is responsible to the Assistant Head of the department in supporting the integration of the project interfaces of the project within the programme. Ensuring their outputs adhere to organisation processes and operating procedures, and particularly those which are detailed under the key department process.
Key Responsibilities:
* Act as the main liaison with the Programme Document Controller to manage document distribution and ensure timely actions.
* Maintain SharePoint and Teams sites, ensuring compliance with file plans, naming conventions, and regular updates.
* Manage the team mailbox, coordinating responses and distributing key communications.
* Coordinate governance meetings, including document circulation, tracking actions, and ensuring follow-ups.
* Support development of trackers, dashboards, presentations, and other materials using relevant data.
* Assist with coordination of team activities and administrative tasks.
* Build and maintain strong relationships with colleagues, project teams, and stakeholders.
* Lead or support activities across project teams and industry partners to meet objectives.
* Represent the department in meetings and act as a key point of contact for stakeholders.
* Communicate with stakeholders to gather and share information as needed.
* Provide progress updates and reports to programme stakeholders.
Key Requirements:
Essential
* All staff must complete all Mandatory training to operate on the project
* Competence appropriate to Executive Officer (EO) level for the post
* Microsoft (MS) 365 Packages inc Project, PowerPoint, SharePoint and Teams)
Desirable
* Managing Successful Programmes and/or Management of Portfolios
* Risk Analysis and Management
