We're looking for a Team Admin Coordinator to join our CAMHS Duty & Liaison service at the Aldrington Centre, Hove. This post offers flexible working with the option to potentially work from home in a hybrid model once you've settled in.
This position would suit an experienced secretary/administrator who is looking for a challenging and rewarding career move into an interesting and varied role.
The successful candidate will provide excellent administration and secretarial support to our team of Duty and Liaison clinicians. You will be responsible for supervising the admin team and ensuring work is coordinated effectively.
Main duties of the job
Your role will be to provide excellent administration secretarial support to the team, including but not limited to:
1. Management of admin staff
2. Act as a central secretarial and admin contact point for the admin team
3. Coordination of workload, maintaining an overview of the admin function and workflow.
4. Inputting data onto electronic patient records/opening & closing referrals
5. Working closely with the Duty and Liaison Manager
6. Managing Outlook diaries
7. Running data as requested
8. Arrangements of meetings and administration/minute taking
9. Data collection - using Excel spreadsheets
10. Managing rosters for the team
11. Assisting with the induction of new staff
12. Typing of correspondence as requested by clinicians
13. Collating data and reporting spreadsheet, Graphs etc. and workflow within the team
14. Oversee referral process and procedure in line with Duty and Liaison Practice
Good communication skills are essential together with the ability to deal sensitively with people who may be distressed at times.

REQUIREMENTS
In order to be a successful Administration Coordinator in our team you will have:
22. Good standard of secondary education; GCSE at Grade C or above
23. A relevant NVQ Level 3 qualification / RSA 3 or equivalent
24. Significant experience in a secretarial role or relevant administration role
25. Experience of office and resource management
26. Experience of producing documents to a high standard of presentation with good accuracy
27. Experience using Microsoft Office including Outlook, Word and Excel
28. Experience of working within a physical or mental health care setting
This exciting position is for 15 hours per week and is a busy role with a varied workload. Therefore, we are seeking an individual who is able to find a balance between team working and utilising initiative.
