Job Description
Job Purpose
The Information Services Directorate has created a Resource Team focused on providing high levels of service to stakeholders and fostering a culture of continuous improvement.
The role holder will support the Senior Resource Administrator in standardizing and optimizing the services provided by the team. They should understand the needs of the customer base and adhere to the University’s standard accounting and transaction management processes, ensuring effective service delivery.
They will collaborate with Directorate staff to ensure that processes such as purchase to pay, invoicing, journal processing, and data integrity are managed efficiently, following the appropriate University systems and procedures.
Main Duties and Responsibilities
* Provision of Transaction Services to the Directorate, including:
* Processing purchase orders through Agresso, ensuring compliance with regulations, procurement, budget, and VAT requirements.
* Communicating order status to internal customers.
* Ensuring Goods Received Notes (GRN) are processed correctly, enabling automatic invoice matching.
* Serving as the main contact for purchasing queries, travel orders, and sales invoicing.
* Processing journals and providing ad-hoc information for audits and reconciliations.
The role also involves delivering high customer service levels, acting as the primary contact for specific functions, and supporting face-to-face interactions across campuses, which may require travel.
General Finance Office Duties
Additional duties include photocopying, answering calls, assisting with finance queries, and filing.
Knowledge, Qualifications, Skills, and Experience
Essential
* Level 5 or 6 qualification (Scottish Credit and Qualification framework) or equivalent, including Maths and English.
* Understanding of finance process compliance.
* Proficiency in Microsoft Office (Word, Excel, Outlook).
Desirable
* Knowledge of corporate/financial systems and policies.
Skills
* Excellent communication and interpersonal skills.
* Numeracy and financial data communication skills.
* Accurate data entry skills.
* Organizational and multitasking abilities.

Terms and Conditions
Salary: Grade 4, £23,881 - £26,338 per annum. Full-time, permanent.
