This role combines the responsibilities of a Personal Assistant and Executive Assistant, requiring exceptional time management, discretion, and communication skills.Manage calendars, schedule on-site and CPD meetings, and coordinate internal and external engagements.Liaise between the internal/external stakeholders.Track and prioritise tasks, projects and follow-ups to ensure nothing is overlooked.Provide medium level project managementHandle confidential documents and sensitive information with utmost discretion.Support strategic initiatives, including research, analysis, and drafting correspondence.Coordinate executive communications including memos, emails, and speeches.Facilitate expense reports, invoice approvals, and budget tracking as required.Additional tasks required:Handle personal errands, appointments, and travel logistics for the Managing Director.Manage household or personal calendars, where applicable.Assist with events, both corporate and personal, including invitations, venues, and logistics.Organize gifts, reservations, and personal tasks on behalf of the executive.Maintain a high level of availability and responsiveness, even outside regular hours if needed, although this is no common place.+ Education and ExperienceMinimum 2–5 years of experience as an Executive Assistant, Personal Assistant, or in a similar high-level support role.Excellent organisational and time-management skills with a proactive mindset.Strong communication and interpersonal abilities.Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook); familiarity with Teams, and scheduling platforms is a plus.Maths and English GCSEAbility to work independently and handle multiple priorities under pressure.Exceptional discretion, professionalism, and integrity.+ Are we the right fit for youAlltimes Coatings is a developer and distributor of Coating Systems for Industrial Buildings, serving Building Contractors, Building Owners and Surveyors.
