The role involves providing support to a well-regarded team of family solicitors specializing in matters related to children, care, and domestic violence, primarily handling Legal Aid Agency-funded cases.
The team manages a heavy workload, with tight deadlines being a common feature. Since solicitors spend a significant amount of time in court, secretaries must deliver excellent support and act as an effective link between the solicitor and client. Accuracy and timely production of documents and letters are crucial.
The ideal candidate will have prior experience as a family secretary dealing with Legal Aid Agency-funded clients and a strong understanding of the legal process, including relevant forms and documents.
KEY RESPONSIBILITIES
* Audio and occasional copy typing to meet fee earners’ requirements.
* Creating documents using the Case Management system.
* Managing files under the fee earner’s guidance, from opening to archiving.
* Communicating with clients and other parties on behalf of fee earners, addressing inquiries as needed.
* Coordinating with the Accounts department for cheques, disbursements, etc.
* Maintaining diaries and scheduling appointments as necessary.
* Handling filing, photocopying, document collation, and other clerical tasks.
* Verifying Legal Aid payments and managing their distribution.
* Contributing to a safe and healthy working environment.
* Assisting in maintaining and improving office procedures.

* Relevant experience as a family secretary working with Legal Aid Agency‑funded cases.
* Having a flexible and proactive attitude.
* Strong written English skills to prepare documents for clients, courts, and other parties.
* Clear and professional communication to handle telephone inquiries effectively.
* A solid attendance record or valid reasoning for any high absenteeism.
* Ability to positively represent and promote the firm's image.
