Job summary
The post holder will have reception and clerical duties supporting the smooth and efficient operation of the emergency Dental Service. This role does not include managerial responsibilities and supports Dental Officers and Dental Nurses.
The post holder will organize their workload, including clerical and reception tasks, ensuring effective resource use. Professionalism, clear communication skills for telephone and patient interactions, and confidentiality are essential.
The role operates within the framework of Health Board policies, requiring initiative and support-seeking when necessary.
English and/or Welsh speakers are equally encouraged to apply.
Main duties of the job
1. Update the Out of Hours Service with patient treatment details and outcomes.
2. Perform reception duties such as greeting patients and answering calls, referring queries as appropriate.
3. Coordinate with Out of Hours regarding appointments.
4. Recognize complex issues and refer them to relevant healthcare team members.
5. Prioritize and organize own tasks.
6. Ensure Dental Records are available for Dental Officers.
7. Record payments and liaise with the Assistant Directorate Manager.
8. Replenish forms, stock, and printer supplies.
9. Maintain waiting room tidiness and update informational materials.
10. Register arriving patients using the IT system.
11. Handle patient and visitor inquiries at reception.
12. Photocopy records and results as needed.
13. Maintain accurate and GDPR-compliant patient records.
