Key responsibilities
General Administration
· Deliver day-to-day administrative support for both US and UK teams
· Maintain accurate company records and filing systems (digital and physical)
· Prepare documents, presentations, and reports to a high standard
· Monitor shared inboxes and respond or escalate as appropriate
· Support our Customer Care function, liaising with clients and garages to have work done under warranty.
Finance Support
· Assist with processing invoices, expenses, and payment requests for both entities
· Liaise with the finance team to track and reconcile transactions
· Support cash flow and budget tracking as directed
· Organise and maintain financial documentation for audit and compliance.
Human Resources & Recruitment
· Support recruitment processes, including job postings, applicant tracking, and interview scheduling
· Maintain HR records, contracts, and training documentation across both entities
· Support onboarding and off-boarding processes for new hires and leavers
· Coordinate holiday and absence records.
Compliance & Record Keeping
· Maintain company compliance
· Assist with statutory filings and legal documentation in both the US and UK
· Prepare and maintain records for external audits or inspections.
Leadership Support
· Manage diaries and other tasks for the Owners as required
· Arrange flights, travel, and accommodation for leadership, staff, and visitors
· Support client hospitality and visitor arrangements.
Cross-Entity Coordination
· Provide remote support to the UK team as required
· Coordinate information sharing and process alignment between the UK and US
· Adjust working hours occasionally to accommodate urgent cross-time-zone needs.

· Strong written and verbal communication skills
· Proficient in Microsoft Office and Google Workspace
· Discreet and professional in handling confidential information
· Proactive, adaptable, and able to work independently
· Strong problem-solving skills with a positive "can-do" approach
· Proven experience in administrative, operations, or office support roles
· Exposure to finance and HR processes preferred
· Experience working across multiple sites or supporting international teams is an advantage
· Previous work in a small-to-medium business environment desirable.
