You’ll be at the heart of our stop smoking service the first point of contact for clients, partners, and stakeholders. From coordinating appointments and managing data, to supporting our Stop Smoking Advisors and helping with community engagement, you’ll make sure our service runs smoothly and efficiently.
We’re looking for someone who:
Is highly organised with great attention to detail
Has excellent communication skills and a positive, customer-focused approach
Is confident with IT and admin tasks (Microsoft Office, databases, etc.)
Can work independently and as part of a supportive team
Understands or is keen to learn about public health and the impact of smoking

Main duties of the job
Monitor the secure email inbox and action referrals and general enquiries, processing referrals timely and effectively
Contact referrals to triage appropriately to book them into relevant clinics with an advisor
Respond to phone calls, voicemails and call backs as appropriate
Attention to detail when inputting and maintaining the database systems
Request and process invoices for timely payments
Provide daily administrative support to the Service Coordinator and Stop Smoking advisors
Offer support, information and advice to service users and health professionals where necessary
Identify clinical queries from callers, reviewing urgency and appropriately seeking guidance to respond to them
Ensure complaints are sensitively handled and raised appropriately to be actioned
Collate and store service user feedback, case studies and comments
Work with the team to capture, create and schedule content for the social media platforms
Assist with organising internal and or external conferences and training days, including registration and resource preparation.
Order service leaflets, handbooks, and other promotional materials as needed
Provide practical support to the production of dashboards, reports and data in advance of reviews and reporting to national, regional and local commissioning and stakeholders
Manage and monitor device calibration, PAT testing and other maintenance as necessary
Support to develop, monitor and maintain quality standards and initiate good office practices including appropriate data protection of client information
Develop and maintain manual and computerised filing systems; ensuring clinic rotas are kept up to date
Explain the principles of Stop Smoking to callers and potential service users so that they can make an informed choice regarding their engagement
Motivate and empower clients to make behaviour changes during initial consultation
Ensure a commitment to own personal development by attending all team meetings and training as required and keeping up to date with best practice
Actively contribute in arranging promotional events
Keep advisors’ assets, including phones, laptops and any other items that come under this description
Support the maintenance of health and safety records and risk assessments

Our SmokeFree Enfield service, commissioned by Enfield Borough Council, helps local residents quit smoking for good and we need a highly organised, friendly, and motivated Admin Support Officer to help make it happen.

And all the while, you’ll be playing a vital role in helping people take the first steps towards a healthier, smoke-free life.

Person Specification
Admin Support Officer
* GCSE Mathematics and English
* A strong understanding of the impact of smoking on health
* Knowledge of the local area of Enfield
* IT skills and experience with data inputting and admin duties
* Previous experience of working in a busy administrative role or office setting
* Ability to understand and respect the diverse cultural backgrounds of people, tailoring support to meet their specific needs
* Ability to build rapport and trust with a wide variety of people, making them feel comfortable and respected
* A certified NCSCT Smoking Cessation Practitioner is desirable
* An understanding of health inequalities within the local area
* Full Clean Driving Licence (no more than 3 points)
