Trinity College is seeking a highly skilled and motivated Personal Assistant to support the Junior Bursar’s Office. This role is essential to maintaining the efficient operation of the College’s administrative functions.

The Junior Bursar is responsible for the operational management of the College, directly supervising several Heads of Department and coordinating the activity of others. As a member of Council and several key College Committees, the Junior Bursar influences key decisions and ensures the delivery of the College’s short-term and long-term priorities. The Junior Bursar is directly supported in these efforts by the Committee Coordinator.
The Role
Reporting to the Committee Coordinator, the role holder will provide high-level administrative and personal support, including:
* Managing the Junior Bursar’s diary and scheduling internal and external appointments, ensuring adequate time for meetings and travel.
* Monitoring and triaging the Junior Bursar’s inbox and phone calls, handling routine correspondence, and escalating time-sensitive matters appropriately.
* Preparing briefing materials, collating meeting papers, and drafting initial correspondence on the Junior Bursar’s behalf.
* Organising meeting logistics, including venues, refreshments, AV equipment, and document printing.
* Coordinating travel, hospitality, and accommodation arrangements.
* Supporting the preparation and distribution of committee documentation and assisting with logistical arrangements.
* Maintaining effective filing systems and overseeing version control for shared documents.
* Liaising with College departments and external contacts to gather and maintain relevant documentation.
* Processing expense claims and routine invoices and supporting financial approvals.
* Maintaining checklists or templates to ensure consistency across recurring administrative processes.
* Assisting with internal project coordination or working groups as required.
The Ideal Candidate
The successful candidate will demonstrate:
* Previous experience in a PA, EA, or senior administrative role
* Excellent organisational and time management skills, with the ability to prioritise effectively in a busy and varied environment.
* Strong attention to detail, particularly in the preparation of documents, meeting materials, and written communications.
* Clear and professional written and verbal communication skills, including the ability to draft emails and correspondence on behalf of the Junior Bursar.
* A proactive, discreet, and dependable approach.
* Good judgement in triaging communications and escalating matters appropriately.
* Proficiency in Microsoft Office (Word, Outlook, Excel), and familiarity with digital document management and version control.
* Ability to liaise confidently with a wide range of people, including senior academics, staff, students, and external contacts.
