Job purpose
To provide the first point of contact with clients & our technicians to organise maintenance scheduling requirements.
Key Responsibilities
Key responsibilities include, but are not limited to:
* Working within the requirements of the company's quality management system - at all times
* Processing the scheduling administrative work of the department as instructed in an efficient and timely manner
* Ensure a polite, courteous, and efficient telephone service is provided as a point of contact within the company.
Knowledge, Skills and Experience
We're looking for the ideal person who has:
* Good GSCE grades in English & Maths - or equivalent qualifications
* A minimum of 5 years administrative experience
* Ability to master new IT systems
* Professional with excellent interpersonal skills and telephone manner
* Strong team player with passion and drive
* Excellent maintenance / scheduling administration skills
* Self-motivated to deliver excellent customer service
* Sound planning and organisation skills
* Excellent attention to detail
* Capable of using own initiative
* Experience of working in a demanding fast-paced environment
* Ability to prioritise workload
* Technical know-how and strong problem solving skills
* Experience working within the engineering / maintenance sectors is preferred
Tasks
Tasks include, but are not limited to:
* Process incoming fault reports and assess contractual positions
* Quote customers on maintenance packages
* Diagnose issues and ensure both engineer and parts availability
* Confirm engineer visits and update engineer diaries
* Ensure accurate invoicing of contracts and ad hoc work
* Maximise efficiency of repairs / preventative maintenance (PM) by minimising number of visits made to sites
* Ensure any major issues / trends are highlighted to Maintenance Manager
* Monitor technician's outstanding work load and job list
* Organise and recover loan stock as required
