Senior HR Process Specialist – Wärtsilä
Wärtsilä is an innovative technology company leading the Marine and Energy markets. We are looking for a Senior HR Process Specialist to drive end‑to‑end hire processes and digital employment documentation (My Employment Documents). The position is fixed‑term (12 months, initially covering a maternity leave) and based at a Wärtsilä office in a European time zone, with hybrid work possible. The role reports to the Head of HR Service Development within the HR Strategy Office.
Your Role And Responsibilities
* Act as a senior HR process and solution expert for My Employment Documents (MED)
* Ensure consistent and compliant use of MED across hire and employment‑related HR processes
* Support execution and development of employment contracting, hire actions, and employment changes enabled by MED
* Own and continually improve hire‑related document templates, data inputs, and documentation standards
* Monitor document quality, data completeness, and first‑time‑right outcomes, driving corrective actions
* Triage and resolve complex cases and escalations related to digital employment documents and data accuracy
* Maintain and enhance HR process documentation, SOPs, work instructions, and templates
* Partner closely with HR Services, HRIS, and other stakeholders to stabilise MED usage during development and change
* Serve as an SME in an end‑to‑end hire continuous improvement journey, including process mapping, future‑state design, workshops, and testing support
Qualifications
* Proven experience in HR operations, HR process management, or HR service delivery
* Hands‑on experience with digital HR document management solutions and hire‑related HR processes
* Experience leading process improvement initiatives
* Strong understanding of HR data quality, controls, and compliance
* Ability to balance operational (BAU) responsibilities with project‑based work
* A structured, collaborative, and solution‑oriented way of working
* Experience in a global HR context; exposure to HR transformation or system‑enabled process change is an advantage
* Excellent spoken and written English skills
