Overview

Receptionist / Administrator – Paediatric Emergency Department. Band 3. 36 hours per week. Fixed term contract until 3rd May 2026.

The post holder will be based across the General Outpatient Reception areas and will provide a professional and effective Reception and Clerical service for the Trust’s Outpatients Service. This role requires flexibility to support a rota covering Monday to Friday, including bank holidays and weekends as required, with rota coverage between 8am and 8pm.

Responsibilities

* Provide efficient Outpatient Reception services, maintaining a high level of customer service, accuracy and confidentiality at all times.
* Welcoming patients, verifying and updating patient details, directing patients to the correct clinic area and ensuring follow-up activity is captured and booked in a timely manner.
* Input and extract information from Trust Patient Administrative Systems; book treatments and appointments.
* Assist in planning and circulating the weekly rota for all General Reception areas; support line management of staff including back-to-work interviews, workload allocation, appraisals, training and mentoring (line management experience desirable).
* Assist with management of medical records preparation and handling; perform physical tasks as required.
* Support the Outpatient Supervisor and Assistant Directorate Manager in providing an effective Outpatient Reception Team daily.
* Undertake administrative duties to aid the smooth running of the service and reception area; support with line management of Outpatient Reception Clerks.
* Demonstrate strong communication and customer service skills; maintain accuracy and attention to detail; uphold confidentiality.
* Work as part of a busy team and on own initiative; understand the confidential nature of the work.


Qualifications and Skills

* Customer service skills and computer literacy essential.
* Ability to use current patient administration software and communicate effectively with patients and staff (clinical and non-clinical).
* Experience in administration and an understanding of the confidential nature of healthcare information.
* Ability to work flexibly to cover the rota and support the service needs.
