The Office Manager plays a key role in ensuring Iomart’s offices operate smoothly, efficiently and in line with business needs. This position oversees day‑to‑day office administration, manages facilities and vendor relationships, supports leadership teams, and helps maintain a productive, organised and safe working environment across our Glasgow HQ and regional offices. Key Responsibilities Office Administration Oversee daily operations of the Glasgow headquarters, with remote oversight of our London and Manchester offices Develop, implement and continuously improve office policies, procedures and workflows Manage office supplies, equipment and supplier relationships Ensure office equipment and systems are maintained, serviced and functioning effectively Facilities & Vendor Management Lead facilities management activities, including leases, building management services and third‑party vendor contracts Coordinate all maintenance, repairs, security systems and access control processes Set, agree and monitor service level agreements (SLAs) Negotiate, manage and review contracts with external service providers Governance & Compliance Support compliance with workplace health and safety, data protection regulations and internal control policies Lead and maintain mandatory safety training schedules (e.g. fire safety, first aid, manual handling, DSE) Work closely with Compliance to ensure a safe and compliant office environment Financial Responsibilities Oversee cost control, procurement processes and office‑related budget management Ensure value for money across supplies, services and vendor partnerships Executive & Operational Support Provide high‑quality administrative support to senior leadership Coordinate logistics for meetings, events, workshops and company gatherings Act as a central point of contact for internal teams and external stakeholders Hold higher qualifications in Business Administration or related field (preferred) Have 3–5 years of experience in office administration management Can manage confidential information with discretion Possess strong organisational and multitasking skills Are proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) Have excellent written and verbal communication skills Please note that the successful candidate must be able to commit to 5 days per week on-site in our Glasgow office.
