Overview
As a receptionist you will be required to co-ordinate all administration and operational procedures related to the day-to-day management of the reception area at ADC as well as providing Administration support to the Stocks and Administration Manager.
Working days: Monday - Friday
Duties
* Answering the telephone in a clear, positive, and professional manner to ensure good customer care of all enquiries.
* Greeting all visitors and members of staff in a professional, enthusiastic, and welcoming manner.
* Deliver high levels of customer care and service delivery.
* Monitoring usage of the meeting rooms and reception area.
* Be fully conversant with all emergency procedures and take responsibility for the speedy and effective evaluation of the facility in the event of an alarm activation requiring such action.
* Ensure that the Reception Areas are maintained in a clean, tidy, and safe condition at all times, thus projecting a professional image.
* Maintain security for the building by providing passes to visitors and oversee that visitors sign in and out as well as providing directions when necessary.
* Notifying appropriate people that a visitor has arrived to see them.
* Manage the staff sales process, including card payment processing.
* Manage outgoing and incoming courier deliveries and the distribution of post around the site.
* Handling correspondence, managing diaries, scheduling appointments, and organising meetings.
* Booking and arranging travel, transport, and accommodation.
* To facilitate meetings, arranging refreshments and catering.
* Various ad hoc requests.
What We're Looking For
* Customer service and care skills
* Experience of customer service and working on a reception desk
* Proficient in Microsoft Office (Outlook, Word, and Excel)
* Strong communication and organisation skills
* The ability to prioritise and multitask efficiently
* Excellent attention to detail
* Discretion and trustworthiness
* Prior work experience in a customer facing or similar administrative support role is an advantage
* Experience of Avaya telephone systems is desirable
