Higher Clerical Officer Band 3
Omagh
Temporary (Up to 3 months)
Requirements:
1. Provide a full administrative support service to the team and other Professionals/departments.
2. Arrange diary dates, venues, travel arrangement and hospitality. This may also include minute taking when required.
3. Contribute to the organisation of the office carrying out routine administrative duties which
4. may include the development and maintenance of an efficient filing system, a brought forward system, mail distribution, photocopying, binding and ensuring relevant files are available for meetings.
5. Deal with incoming mail and direct correspondence to the Team or as appropriate deal with routine items which may include the writing and drafting of routine letters for signature.
6. Facilitate communication by liaising with relevant staff, departments, hospitals, the public and external agencies.
7. Dealing with telephone calls and enquiries and taking relevant action as appropriate.
8. Type letters, memorandums and minutes. A high level of word processing skills will be required, and the post holder will also be required to develop skills on Microsoft Office software and other computer packages as and when required.
9. Assist in the production of Power Point presentations required by department.
10. Provide administrative support in the production of policies and statistical reports produced within the department.
11. Management of stationary stock levels throughout the department using stock catalogue and non-stock requisitions so levels of stock are adequately maintained
12. Update/Search information on client data base (Paris/Soscare) as required
13. Contribute to the collection and collation of statistical information on a regular basis
14. Operate a petty cash system as required and in line with Trust Policy
Essential Criteria:
15. 5 GCSEs at Grades A-C including English Language and Mathematics or equivalent/higher qualification AND 2 years' experience in a clerical/administrative role
OR
16. NVQ Level 1 Business & Administration or equivalent and 1 year administrative/clerical experience
17. Evidence of ability to work on own initiative
18. Evidence of flexibility and effective time management
19. Experience in the use of Microsoft Office products including Word, Outlook and Excel
Desirable Criteria
20. Experience of using PARIS
Rate of pay: £ per hour
Hours of Work:
21. 5hrs per week - Monday to Friday
