Paediatric Diabetes Administrator/Healthcare Assistant

We are seeking someone who is passionate about paediatric diabetes and achieving optimum health outcomes for all children, young people and families living with this long‑term condition. The successful candidate will assist registered professional staff and colleagues in providing high‑quality care, in an environment appropriate to their needs, ensuring that privacy and dignity are always maintained.

Service performance and outcomes are continuously measured against NPDA, peer‑review measures and best‑practice tariff criteria. We fully participate in the National Paediatric Diabetes Audit and benchmark ourselves against similar services. We are active participants in the regional paediatric diabetes network and the RCPCH Paediatric Diabetes Quality Programme. We are enthusiastic adopters of all diabetes technologies and have an effective QI programme. For many years, metabolic outcomes for our children and young people have been among the best in the country. This role will involve supporting the team to achieve this.

The role will involve travel during working time, and the successful applicant must be able to meet the travel requirements of this post. The Trust is committed to making reasonable adjustments for applicants in line with the Equality Act 2010.


Main duties of the job

Admin Role

* Maintain register of all patients within the Diabetes Service
* Support the team to ensure compliance achieving Best Practice Tariff requirements
* Plan and organise the timely collection, retrieval and collation of information required for the National Paediatric Diabetes Audit
* Provide reports for internal and external use
* Provide administrative support to the Diabetes Team
* Deal with telephone and email enquiries
* Clinic preparation
* Ensure specialist indicators are placed on patient Bulletin Boards as appropriate
* Support the team in the completion of other audits, production of annual reports, operational policy, distribution of patient information
* Advertising and promoting events
* Organise meetings for patients, MDT, medical rep and any other meetings
* Ensure stock levels are maintained


Clinical HCA role

* Work in the Children’s Diabetes Clinics or service alongside MDT members
* Download all medical devices to facilitate effective patient reviews
* HbA1c testing
* Troubleshoot patients’ technical problems (setting up tech accounts, phones etc.)

Job responsibilities

Assist registered professional staff and colleagues in providing high‑quality care and assistance to children/young people with diabetes and their families. Provide administrative support to the MDT members of the South Tyneside and Sunderland Children and Young Peoples Diabetes Service. This is an MDT which operates from two base sites in Sunderland and South Tyneside and provides comprehensive care to approximately 320 children and young people (age 0‑19 years) with diabetes.

The successful candidate will be joining one existing experienced data officer (0.5 WTE), two experienced HCAs in the service (1.0 WTE) and two paediatric secretaries (combined 0.7 WTE), forming the admin team of the service.

Qualifications

* Level 2 literacy & numeracy GCSE Maths and English C or above, or equivalent
* NVQ Level 2 qualification in health and social care / business and admin / customer care or equivalent in any subject


Experience

* Ability to deal with conflict in a professional manner
* Experience of working in a caring role (paid or unpaid)
* Demonstrable experience working in an administrative role
* Experience of working with CYP aged 0‑19 years and understanding their developmental processes
* Experience of working with young people with diabetes
* Experience of using diabetes technology and software
* Experience of working as an effective MDT member
* Experience of using and maintaining spreadsheets and databases
* Experience of using Microsoft Word, Excel, Teams


Skills and Knowledge

* Ability to communicate messages and instructions accurately to colleagues, both verbally and in writing
* Ability to maintain and use databases
* Prioritise workload and meet daily, weekly & monthly deadlines consistently
* Know the importance of good infection control practices; health and safety and risk management issues
* Knowledge of professional and ethical issues, including professional boundaries, clinical governance and safeguarding children’s policies and practice
* Ability to communicate effectively at the appropriate developmental level of the child/young person
* Good keyboard and basic computer skills including use of Microsoft Word and Excel
* Basic skills of empathy and reassurance
* Basic understanding of confidentiality requirements in a healthcare setting
* Willing to undertake further training related to role
* Willing to complete competency‑based assessments and a portfolio of evidence, in order to achieve the care certificate
* Able to work using own initiative
* Ability to recognise and prioritise workload
* IT skills including Excel, data manipulation, basic descriptive statistical analysis and report preparation


Physical Skills

* Ability to assist patients to move as per Trust Moving and Handling policy
* Driving
* Lone working in unpredictable community settings including occasional home visits as needed
