Job Summary
We are seeking a highly organised, vibrant and proactive Personal Assistant to support our Director. The ideal candidate will possess strong administrative skills and be adept at managing various tasks efficiently. This role requires excellent communication skills, attention to detail, and the ability to work independently while maintaining a high level of professionalism. Work closely with Director to understand where the business can be more efficient.
Responsibilities
* Provide comprehensive administrative support to the Director, including managing schedules, appointments, and travel arrangements.
* Maintain accurate records and files, ensuring that all documentation is organised and easily accessible.
* Assist with data entry tasks and clerical duties as required.
* Prepare reports and presentations using Microsoft Office and Google Workspace applications.
* Handle phone calls with professionalism, demonstrating excellent phone etiquette.
* Coordinate meetings, including preparing agendas and taking minutes as necessary.
* Manage correspondence on behalf of the Director, ensuring timely responses to emails and other communications.
* Support financial tasks using QuickBooks for invoicing and expense tracking.
Experience
* Proven experience in an administrative role is essential, with a strong background in office management preferred.
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace is required.
* Familiarity with QuickBooks is advantageous but not mandatory.
* Excellent organisational skills with the ability to prioritise tasks effectively.
* Strong data entry skills with a high level of accuracy.
* Previous clerical experience is beneficial, along with a demonstrated ability to manage multiple tasks simultaneously.
