Administrative Assistant
Permanent | £24, per annum
35 hours per week | Monday-Friday
Hybrid role: 2 - 3 days per week in an Edinburgh office (including Tuesdays)
Our client is seeking a highly organised and proactive Administrative Assistant to provide essential support across the business. This is a varied and fast paced role, ideal for someone who thrives on organisation, teamwork, and supporting senior stakeholders.
Working closely with a senior support professional, you will play a key role in ensuring the smooth day to day running of the organisation, with responsibilities spanning administration, coordination, and operational support.
Key Responsibilities
Administrative Support
1. Manage shared and senior inboxes, triaging, responding to and escalating enquiries as required
2. Provide day to day administrative support to senior leaders
3. Assist with diary management, scheduling, and meeting preparation (internal and external)
4. Research and prepare briefing materials on a range of topics
5. Accurately record and submit expenses in a timely manner
6. Prepare, proofread, and format documents, reports, agendas, and presentations
7. Take clear and accurate notes where required
Operations & Coordination
8. Support office administration and supplier coordination
9. Arrange UK travel and accommodation for senior staff
10. Assist with the planning and delivery of meetings and events
11. Provide administrative cover for colleagues during periods of absence
12. Support staff onboarding and offboarding, including IT access and systems setup
13. Assist with governance and boardrelated administration
14. Act as a central point of contact, directing queries to the appropriate teams

Person Specification
Essential
15. Highly organised, reliable, and detailfocused
16. Strong timemanagement skills with the ability to juggle multiple priorities
17. Confident and professional communicator, both written and verbal
18. Comfortable liaising with internal and external stakeholders
19. Strong IT skills, including Microsoft Office and Microsoft Teams
20. Excellent attention to detail with a high level of accuracy
21. Discreet and trustworthy when handling confidential information
22. Ability to work independently using initiative, as well as collaboratively
23. A proactive, solutionsfocused mindset
24. Previous experience in an administrative or office support role
Desirable
25. Experience in a publicfacing or customer service environment
