The main purpose of this vacancy will be to provide secretarial office duties such as transcribing medical correspondence, audio typing, to undertake mail and filing duties, retrieving patients medical notes, scheduling of theatre cases on TOMS system, deal with patients, relatives, carers and external partners on a regular day to day basis.
The post holder will be required to demonstrate excellent typing/keyboard, communication, organisational, clerical and IT skills. They need to be able to work on their own initiative and to work well as a team member. They will work as part of a multi-disciplined team with colleagues from across the organisation and external support services.
It would be an advantage if the post holder was familiar with the NHS information systems and in particular WPAS (Myrddin) & TOMS and they will need to have an understanding of the principles of Referral to Treatment. They will need to have a sound knowledge of a range of Microsoft office packages.
An understanding of patient care and meeting the needs of the general public is essential for this position, therefore an excellent telephone and communication manner will need to be demonstrated.
Main duties of the job

The principal accountabilities of this post are:
* Plan own day to day tasks and duties.
* Undertake routine typing and audio typing of clinical correspondence.
* Update pathways in line with RTT guidelines.
* Manage Consultant's diaries.
* Prioritise results, organise clinical activity and patient admissions.
* Liaise with patients, General Practitioners and other Health Boards/Trusts to arrange ongoing treatment and care.
* They will maintain waiting lists in adherence with University Health Board (UHB) policy and guidance, deal with patients, relatives, carers and external partners on a regular day to day basis using tact and diplomacy.
Welsh Skills Desirable: This post is advertised as Welsh Desirable. This doesn't mean essential; whilst the candidate doesn't need to have skills in Welsh, we'll consider it an advantage when short‑listing and selecting candidates. This isn't 'fluency', just Speaking & Listening skills at Level 3 (equivalent to CEFR B2) or above. Level 3 means basic conversations with patients about their everyday health. Person Specification
Qualifications
* RSA/OCR Level III or equivalent level of knowledge, skills and experience. Good standard of education. Comprehensive knowledge of medical/surgical terminology.
* ECDL (European Computer Driving Licence) or similar qualification. Knowledge of University Health Board procedures. Medical Secretary qualification eg. AMSPAR.
Experience
* Previous experience in a secretarial role. Experience of working in a busy environment. Ability to prioritise and manage own workload. Knowledge of the Welsh PAS (Myrddin) system.
* Experience of working in a hospital environment. Experience of supervising staff.
Aptitude and Abilities
* Excellent keyboard and audio typing skills. Excellent communication and telephone skills. Able to deal with patients and relatives in a sympathetic manner. Ability to deal with staff at all levels. Confidentiality and diplomacy. Excellent organisational and time management skills.
* Setting up office systems. Ability to take shorthand.
* Welsh language speaking & listening skills at Level 3 or above
