Job Title: Legal Assistant - Probate Department
To support the Head of Department in providing legal services by assisting fee earners and clients.
Responsibilities and Duties
1. Assist Fee Earners in managing caseloads by executing legal procedures as directed.
2. Handle file-related queries face-to-face or via telephone to support caseload management.
3. Complete tasks competently within specified timescales.
4. Take dictations and perform typing duties.
5. Coordinate with the Accounts Department regarding payments and financial matters.
6. Maintain high standards of work with attention to detail, organization, and efficiency under pressure.
7. Liaise with clients and contacts, handle queries, take instructions, and conduct correspondence and telephone enquiries.
8. Report work issues or problems immediately to management.
9. Ensure compliance with the firm's policies and procedures.
10. Be proficient in using the Case Management system.
11. Enhance the firm's client base through effective liaison with existing clients.
12. Identify opportunities to cross-sell services to maximize the firm's potential.
13. Manage personal work allocation, productivity, and quality with minimal supervision.
14. Perform other clerical and administrative duties as reasonably required.
Experience Required
1. Recent experience working within a Probate Department.
2. Experience assisting on a varied caseload.
3. Practical experience handling client enquiries face-to-face and by telephone.
4. Confident, articulate, and robust in relationships and interactions with colleagues.
5. Ability to work quickly and accurately under pressure and meet deadlines.
6. Proficiency in IT, especially Microsoft Office.
7. Studying for Membership of the Institute of Legal Executives.
8. Knowledge of case management systems.
9. Commitment to personal development.
