Job overview

The Virtual Ward is expanding and in order for us to continue to grow, we are looking for an Admin Manager that will join our team and support the service to develop further.

We are looking for someone who has great communications skills, can support the team with administration tasks, work with and analyse data and can work flexibly within a busy environment.


Main duties of the job

You will provide administrative support to the virtual ward team and will be responsible for developing administrative systems to ensure robust monitoring of the service.

You will work as part of a wider multi-disciplinary team to ensure the effective running of the service including call handling, appointments and follow-ups, tracking of equipment and setting up meetings, etc.

This role continues to evolve as the service develops and may include a staff management element as the team expands.

Due to Home Office immigration rules, a full-time permanent vacancy cannot be filled by individuals on a Student visa. Therefore, please be advised that if you are a Student visa holder, we will not be able to offer you a full-time permanent contract unless you have:

* applied for a Graduate visa
* or you will have successfully completed your course and have applied for a Graduate visa before the anticipated start date of your employment
* or the Trust has agreed that they will Sponsor you as a Skilled Worker and you will complete your studies within 3 months of the anticipated start date of employment

Person specification


Qualifications

* Educated to NVQ level 4 or equivalent
* Customer Service/Business Admin/ITQ or equivalent professional experience


Experience

* Experience of managing staff/a busy clerical/office environment
* Complex administrative experience
* Prioritising, planning and organising own and others tasks
* Experience of dealing with difficult situations and confrontations
* Data entry experience and documentation
* Experience of logistics management


Knowledge

* Confidentiality and data protection processes and procedures
* Good working knowledge of office procedures and all Microsoft office packages
* Awareness of NHS targets and Trust priorities


Skills

* Ability to manage/work as part of a team
* Excellent communication skills including telephone, email, face to face where there may be barriers to understanding
* Ability to organise and manage own time and others to keep to schedule and deadlines
* Ability to analyse and present complex data
* Ability to manage projects
* Ability to use own initiative and work autonomously
* Excellent IT skills – ability to use Microsoft office applications including spread sheets and email
